About The Position

Performs a variety of administrative support activities for Ada County Juvenile Services and interacts extensively with youth and families, court clerks, probation officers, detention officers and community providers. An Administrative Specialist I is provided close supervision, training, and learning opportunities. The incumbent resolves moderately complex matters while maintaining a high level of professionalism and confidentiality.

Requirements

  • High school diploma or equivalent
  • Knowledge of English grammar, punctuation, and spelling
  • Knowledge of modern office equipment, practice and procedures
  • Thorough knowledge of MS Office Suite, including Word, Outlook and Excel
  • Skill in operating a computer at an intermediate to advanced level
  • Skill in performing public service
  • Skill in creating and maintaining effective working relations with individuals and entities both within and external to the juvenile services department
  • Skill in organizing and attention to detail to accurately accomplish work within limited timeframes, and to manage competing priorities
  • Skill in communicating with culturally diverse populations
  • Skill in telephone etiquette
  • Ability to manage time effectively and transition between multiple tasks
  • Ability to maintain a large amount of data with a high degree of accuracy
  • Ability to maintain confidentiality of data
  • Ability to follow written and verbal instructions
  • Ability to clarify ideas and present in written and verbal forms
  • Ability to work as a member of a team to accomplish division and department goals
  • Ability to handle money accurately
  • Ability to meet and interact effectively with the general public, fellow employees, youth and their families, court officials, and others in stressful situations
  • Incumbent is subject to a criminal records check, pre-employment drug screen, and fingerprinting prior to hire

Responsibilities

  • Maintains reception area to include scheduled appointments and walk-in customers
  • Multitask between a variety of fast-paced, competing demands with time-sensitive deadlines, including attending to public visitors, electronic or phone inquiries, and payment processing
  • Greets telephone callers and provides department related information
  • Answers questions to provide information about department services
  • Performs clerical tasks to include typing, filing, and drafting of correspondence
  • Creates and maintains confidential files
  • Inputs and retrieves electronic data
  • Processes payments relating to court fees
  • Manages the tracking and shipping of urinalysis samples
  • Opens and reconciles multiple cash drawers
  • Provides administrative support for department leadership
  • Assists in department ordering
  • Completes nightly deposit reconciliation
  • Provides administrative support for training and programming
  • Performs related duties as assigned
