About The Position

The Executive Office of Energy and Environmental Affairs (EEA) is seeking an Administrative Services Intern for the fall. This unpaid internship is designed to support students or recent graduates seeking practical experience in administrative services. The intern will primarily support the EOEEA and its agencies with best practices and operational support related to front desk coverage and administrative duties. The role involves overseeing the day-to-day reception operational activities at the 100 Cambridge Street location.

Requirements

  • Must be a student or recent graduate seeking practical experience.
  • Ability to earn academic credit through college or university may be required.
  • Must be trained in responding to emergencies.
  • Must be able to serve as a point of contact for Building Security.
  • Must be able to assist with submitting work orders via Building Management Software.
  • Must be able to assist with various administrative tasks including mail handling, scanning, and package reception.
  • Must be able to draft, print, and post signage as required.

Responsibilities

  • Manage visitor registrations, notify hosts of visitor arrivals, and communicate changes to relevant parties.
  • Securely hold and distribute new access cards and bike room keys to onboarding employees.
  • Oversee fleet vehicle keys, confirm reservations, track fleet users, and monitor the return of vehicle keys.
  • Respond to emergencies, contact and guide appropriate emergency response teams, and provide them with the daily roster of in-person personnel.
  • In the event of an emergency evacuation, meet employees at the assembly area and take attendance per the daily roster.
  • Serve as an important point of contact for Building Security.
  • Assist with submitting work orders via Building Management Software for services such as Janitorial, Pest Management, Electrical, HVAC, Plumbing, Restrooms, and physical repairs of occupied spaces and adjacent common areas.
  • Assist with various administrative tasks including sorting mail, scanning selective mail, keeping receipt manifests of legal documents, receiving and signing for packages, alerting recipients of package receipts, and drafting, printing, and posting signage as required.
