About The Position

This unpaid internship is designed to support students or recent graduates seeking practical experience in administrative services. The intern will primarily support the Executive Office of Energy and Environmental Affairs (EEA) and its agencies with best practices and operational support related to front desk coverage and administrative duties. The role involves overseeing the day-to-day reception operational activities at the 100 Cambridge Street location.

Requirements

  • Must be a student or recent graduate seeking practical experience.
  • Ability to work 22.5 hours per week.
  • Must be able to work onsite at 100 Cambridge Street, Boston.

Nice To Haves

  • Proficiency in Microsoft Suite.

Responsibilities

  • Managing visitor registrations, notifying hosts of arrivals, and communicating changes.
  • Securely holding and distributing new access cards and bike room keys to onboarding employees.
  • Overseeing and securing fleet vehicle keys, confirming reservations, tracking users, and monitoring key returns.
  • Responding to emergencies, contacting and guiding emergency response teams, and providing daily personnel rosters.
  • Assisting with the submission of work orders for various services (Janitorial, Pest Management, Electrical, HVAC, Plumbing, Restrooms, physical repairs) via Building Management Software.
  • Assisting with administrative tasks such as sorting and scanning mail, maintaining legal document manifests, receiving and signing for packages, alerting recipients, and drafting/printing/posting signage.
