About The Position

The Administrative Services Coordinator I assists the department with complex data entry and analysis, writing, verification of documents, and customer support in-person and via phone. This role involves collaborating with department staff on various administrative projects, providing a wide range of administrative tasks, and verifying submitted documentation for regulatory compliance and the issuance of permits. The position also includes reviewing permit applications, fee calculations, and building permit processing and issuance to ensure completeness and accuracy. Responsibilities extend to managing online permitting software, providing front counter and back-office customer service, and assisting with maintaining department records as required by law. The role supports Permit Specialists and handles confidential information with discretion.

Requirements

  • High school diploma or GED required.
  • Must possess or obtain the ICC (International Code Council) Permit Technician certification exam within the six (6) months of hire date.
  • Minimum of five (5) years of experience in the Administrative or Customer Services capacity, working with the public or in an office environment.
  • Must perform a wide variety of duties with speed and accuracy in a busy office environment.
  • Must handle confidential information with discretion.
  • Must be proficient in Microsoft 365.
  • General knowledge of Building Codes, Local, State, and Federal requirements.
  • Must possess a valid SC Drivers license (or obtain within three (3) months of hire) and meet the requirements of the County’s motor vehicle policy.

Nice To Haves

  • Undergraduate degree preferred.
  • Substantial knowledge of construction terminology is preferred.
  • General knowledge of Crystal Reports or SQL is a plus.
  • May include additional certification requirements dependent upon other duties as assigned within a set amount of time.

Responsibilities

  • Collaborates with department staff on various administrative projects.
  • Provides a wide range of administrative tasks.
  • Verifies submitted documentation for regulatory compliance and the issuance of permits.
  • Reviews permit applications, fee calculations, and building permit processing and issuance to ensure completeness and accuracy.
  • Verifies that projects have obtained all necessary approvals prior to permit issuance.
  • Ensures applicant are notified when construction documents and/or permits are ready for pick up.
  • Maintains files, responds to resident inquiries, and handles confidential information.
  • Manages and maintains a portion of the online permitting software and requirements for external user setup, license designations, permitting and document scanning, and attachment of records.
  • Provides front counter customer service support and additional back-office support.
  • Assists with maintaining department records as required by federal and state laws.
  • Provides assistance to citizens and building professionals via phone and email messages.
  • Supports Permit Specialist with job duties as required.
  • Performs other duties or assumes other responsibilities as apparent or assigned.
