About The Position

We are looking for an Administrative Secretary to join our collaborative team at Memorial Health! This role involves performing full registration for rehabilitation service patients, gathering demographic and financial information, processing admission materials, and verifying insurance. The position also includes various clerical duties such as answering phones, scheduling patients, maintaining patient charts and records, and assisting the department Director with administrative tasks like composing correspondence, coordinating meetings, and ordering supplies. The role requires researching and compiling data for reports, maintaining professional communication, and ensuring a positive customer experience by managing patient flow and wait times.

Requirements

  • High school diploma
  • Competency by education or training in office methods and practices
  • Medical terminology
  • Computer software/database management skills
  • Three (3) years of clerical or secretarial experience

Responsibilities

  • Performs full registration for rehab service patients consistent with current Registration Department standards.
  • Conducts interviews with patients on the telephone and in person to gather demographic, financial and guarantor information and enters into the hospital information system.
  • Secures patient and guarantor signatures; processes admission materials.
  • Obtains pre-admission information from patients and physician offices and obtains required signatures.
  • Verifies authorized treatments on Medicare patients using the Passport system; accepts and processes payments per Patient Financial Services policy.
  • Answers telephone and responds to routine inquiries; greets and directs patients and public.
  • Schedules patients for treatment.
  • Gathers and verifies information necessary to prepare, organize and maintain patient charts, records and other reports for department.
  • Submits and/or distributes information according to established procedure.
  • Demonstrates ability work flexible schedule to meet department coverage.
  • Composes routine correspondence for signature.
  • Schedules, arranges, and coordinates meetings and conferences, records meeting minutes, prepares and distributes meeting materials.
  • Assists department Director in maintaining department policies and procedures.
  • Orders and distributes department office supplies as needed.
  • Prepares and maintains various financial, statistical, operational, and/or personnel records and reports.
  • Researches, compiles and interprets data for report preparation.
  • Maintains appropriate verbal, written and telephone communications.
  • Ensures all interactions are conducted in a professional manner.
  • Demonstrates philosophy of team concept; participates in department projects, attends committees as assigned and attends monthly staff meetings.
  • Greets and directs customers; ensures customers are made to feel welcome and comfortable.
  • Communicates patient arrivals in a timely manner according to department policy and procedures.
  • Ensures patient flow to reduce wait times, provide a positive customer experience, and maximize clinical efficiency.
  • Maintains wait time standards as appropriate.
