About The Position

The Administrative Receptionist is responsible for answering CCS' multi-line telephone system, accurate message taking, and relaying messages to the proper point of contact. Additionally, the Administrative Receptionist is responsible for supporting the Account Coordination team, working in various client systems, completing data entry tasks, and other general office tasks, as assigned.

Requirements

  • Excellent verbal and written communication skills, including in person, email and phone.
  • Able to read, write and comprehend written and verbal information for accurate message taking.
  • Proficient with alphanumeric data entry of 40 wpm typing with high level of accuracy.
  • Must be able to work in office, in a high visibility and traffic area.
  • Strong attention to detail and ability to multi-task while answering phones.
  • Proficient in Microsoft Office applications in Outlook, Word and Excel.
  • High school diploma or equivalent required.

Nice To Haves

  • 1-3 years of experience in a front desk, reception, customer service, or administration position.
  • Registered Notary Public.
  • Some college.

Responsibilities

  • Answers incoming telephone lines and direct calls to appropriate departments and personnel.
  • Takes efficient and accurate messages and relay information to appropriate personnel, in a timely fashion.
  • Greets and screens all visitors, clients and vendors while adhering to CCS Security policies and practices.
  • Assigns security badges to visitors/vendors, temporary associates, and maintains the building log for visitors and loaner badge access.
  • Manage multiple priorities and tasks based on daily assigned work.
  • Performs Account Coordinator duties, such as Creates, reviews, and/or delivers various reports for clients.
  • Retrieves and reviews all supporting documents provided by clients for accuracy.
  • Assists the Operations departments in gathering data and information on accounts and placements as needed.
  • Cross-trains on various levels of client systems to research payments, adjustment and provide general information to Operations and other internal teams.
  • Demonstrates respect and regard for all clients, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
  • Promotes effective working relations and work effectively both as part of the department team and cross functionally with other departments to contribute to the achievement of company goals and objectives.
  • Maintains work area and equipment in conditions as required by department standards.
  • Operates assigned equipment and performs all activities in a safe manner.
  • Consistently able to present and maintain a professional demeanor at all times.
  • Completes additional tasks or assignments as needed.
  • Ability to maintain a consistent and regular attendance in accordance with an established schedule.
  • Ability to work onsite/in-office and in accordance with CCS and department policies and procedures.
