About The Position

Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an Administrative Project Coordinator to join its Charlotte Office. The Administrative Project Coordinator performs a variety of administrative and project management duties in support of attorneys and professionals on our Commercial Real Estate/Land Use Team. This role plays a central part in supporting a fast-paced Land Use practice by ensuring seamless coordination across attorneys, business professionals, and clients. The ideal candidate thrives in a team-oriented setting, demonstrates a solutions-focused mindset, and consistently delivers high-quality support with professionalism and discretion.

Requirements

  • Bachelor’s degree or relevant experience required
  • 5+ years' experience in an executive assistant or project coordinator role
  • Proficiency in Microsoft Office suite - Word, Excel, Outlook, and Power Point
  • Ability to manage competing priorities and deadlines
  • Strong interpersonal skills and professional judgment
  • Attention to detail and accuracy

Nice To Haves

  • Land Use/Zoning experience
  • Paralegal certification

Responsibilities

  • Coordinate and track milestones, deadlines, and deliverables across a large portfolio of active matters (often 80+ concurrent projects).
  • Administer all aspects of rezoning case management, land use and other development related research and due diligence (research, file management, and reporting).
  • Monitor timelines and follow up to ensure key dates and expectations are met.
  • Provide proactive support to Land Use team, anticipating needs and ensuring continuity during high-volume periods.
  • Coordinate communications between attorneys, clients, and team members.
  • Manage incoming communications by prioritizing and organizing items appropriately.
  • Assist with document preparation, proofreading, and organization.
  • Assist with coordination of meetings and preparation of materials.
  • Other duties and responsibilities as assigned.
