About The Position

GrizzlyTrek is seeking one Administrative Operations Specialist to join our value-added client's team at their Montreal, Quebec location. This is a full-time contract position with potential for extension and conversion to a permanent role. In this role, you will manage day-to-day functional operations, prepare specialized reports and correspondence, maintain records and filing systems, and administer programs and processes specific to the organizational unit you support. This position may be embedded within a variety of departments, including EHS, R&D, Marketing, IT, Sales, Legal, Project Management, HR, Finance, or Customer Services.

Requirements

  • 5 to 8 years of experience in an administrative, operations, or clerical support role
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • Experience with specialized software packages and IT systems
  • Strong attention to detail with the ability to produce accurate reports and maintain organized records
  • Excellent written and verbal communication skills
  • Self-motivated and able to manage multiple tasks and priorities independently
  • Strong organizational and time management skills

Nice To Haves

  • Post-secondary education in business administration, office management, or a related field
  • Experience working in an engineering, industrial, or energy sector environment
  • Familiarity with ERP systems (e.g., SAP) or project management tools
  • Bilingual proficiency in English and French

Responsibilities

  • Manage all day-to-day functional operations and apply IT systems to support workflows
  • Prepare specialized routine reports, correspondence, and statistical summaries
  • Maintain records and filing systems, including data entry into computer systems, Office applications, and specialized software packages
  • Complete routine reports to support decision-making processes within the assigned area
  • Perform administration of programs, projects, and processes specific to the organizational unit served
  • Coordinate with cross-functional teams to ensure smooth operational flow and timely deliverables
  • Support continuous improvement of administrative processes and documentation standards
