About The Position

The Administrative Office Assistant provides confidential, high-level administrative and office support to the President’s Office. This position plays an essential role in supporting the efficient day-to-day operations of the office while providing exceptional customer service to students, employees, campus partners, visitors, and members of the public. As the first point of contact for the President’s Office, the Administrative Assistant welcomes visitors, responds to inquiries, and directs individuals to the appropriate resources with professionalism, discretion, and care. The position is responsible for managing correspondence, maintaining confidential records, coordinating schedules, and meeting logistics, supporting events and hospitality, and processing purchasing, travel-related activities, and reconciliations. The Administrative Assistant exercises sound judgment and discretion in handling sensitive and confidential information and applies campus and CSU policies, procedures, and protocols to support executive-level operations. Success in this role requires strong organizational and communication skills, attention to detail, adaptability, sound judgment, and a collaborative, service-oriented approach to supporting the President’s Office and advancing the mission of the University. Other duties as assigned.

Requirements

  • High School diploma or the equivalent.
  • At least one year of general office experience.
  • Possession of fundamental written and oral communication skills, including a basic foundation in English grammar, spelling, and punctuation.
  • Ability to understand basic office procedures.
  • Ability to operate standard office equipment and software.
  • Ability to perform basic arithmetic.
  • Possession of basic typing and keyboard skills.
  • Ability to provide work direction, train, and provide guidance to other employees.
  • Ability to make recommendations on employee staffing issues.
  • Ability to coordinate events and special projects.
  • A background check (including a criminal records check) must be completed satisfactorily.
  • A valid California driver’s license and/or reliable means of transportation.
