About The Position

Independently supervises clinic operations in the The Cardiovascular Care & Prevention Center – Mission Bay, including multiple providers such as Physicians/Advanced Practice Providers/Registered Nurses/Medical Assistants/and Sonographers. Subordinates include staff involved with professional operational functions. Independent oversight of administrative areas such as practice revenue management, billing systems and procedures, facilities and safety procedures, registration, new patient coordination, scheduling, referrals, medical records storage and maintenance, insurance authorizations. May also supervise patient support staff such as medical assistants, RN’s, sonogrpahers or LVNs, in coordination with the nursing lead. The Cardiovascular Care and Prevention Center is a complex multidisciplinary specialty clinic that treats patients from new patient referral through ongoing medical management. The patient populations served include general cardiology and cardiology subspecialties, and will be a liaison for Medical Assistants at Berkely Outpatient Center, Bayfront, and San Mateo.

Requirements

Bachelor’s degree in related area and / or equivalent combination of experience / training.
Minimum five (5) years of healthcare admin analyst/leadership experience
Demonstrated skills to effectively supervise clinicians and to manage the complex workflow and multiple priorities involved with a clinic(s) / center(s).
Strong knowledge of practice operations.
In depth knowledge of patient care clinical standards and care delivery, systems, external regulations and internal policies.
Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters.
Strong analytical and critical thinking skills, with the ability to quickly analyze problems, determine appropriate level of intervention, and develop and apply effective solutions.
Strong interpersonal skills for effective collaborations and problem solving with all levels of management and staff, consultants and outside agencies.
Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex clinical and technical information in a clear and concise manner.
Strong knowledge of business software and specialized applications and data management systems used in clinic / center patient care.
Utilizes electronic medical record system as well as other organizational information systems to gather, organize and report data relevant to clinic specialties within.

Responsibilities

Independently supervises administrative operations and facilitates the flow of patient care activities and coordination of the interdisciplinary clinical staff for assigned clinics / centers. Assures quality care, and compliance with internal policy, external regulations and accepted practices across the continuum of care. May also supervise the fiscal operations.
Independently supervises the quality of employees meeting patient service standards and coordinates the clinic patient care services, resolves system issues, advises on work methods, manages scheduling based on patient censusand ensures compliance with internal procedures and external regulations. Mentors staff to communicate with patients regarding their conditions, treatments, and concerns.
Independently evaluates subordinate staff and participates in decision-making on hiring, salary actions, disciplinary actions, performance ratings, and other human resources matters. Evaluates the competencies of clinical staff,according to scopeof practice for the position.
Independently manages completion of orientation and training of all patient care staff. Identifies and implements department specific educational opportunities for staff in collaboration with ambulatory administration. Assures work is performed in adherence to patient service standards, internal policies, external regulations and quality / quantity expectations.
Serves as a resource to Clinic Staff/ Directors on patient care issues, new policies, and technology. Keeps staff informed of changes and resolves escalated issues. Independently makes decisions with physician dyad partner and recommends internal policies and procedures for quality improvement within the practice(s). May serves as a resource to stafffor instructing patients on chronic diseases and self-care management, and with diagnostic and therapeutic procedures and treatments in collaboration withthe physician dyad partner.
Participates in the performance of routine audits and accreditation an licensing inspection readiness activities. Monitors services provided by support departments and collaborates to improve utilization and efficiency.
Promotes a climate of effective teamwork, communication and collaboration. Communicates regularly on practice activities and on pertinent operational or human resources issues. Is independent in problem solvingwith collaboration from the team to work on issues and provide solutions.
Encourages and assists staff in meeting professional goals. Using standard practice evaluation toolsto identify areasfor growth. Consults with clinical leadersand educators on developing , implementing and evaluating strategies for performance improvement.
Understands unit financial goals and educates staff of cost-containment strategies. Independently maintains unit expenses within budget.
Monitors and ensuresthat fiscal andmaterial resources are managed according to budgetary parameters across assigned clinic(s) or center(s).
