About The Position

The New England Conservatory (NEC), a globally recognized leader in music education, is seeking an Administrative Manager and Office Coordinator for the President. This role provides high-level administrative support and management for the President's daily, onsite operations. The position involves coordinating the President's workflow and calendar, preparing for meetings and events, managing travel arrangements, preparing briefings and notes, and processing invoices and tracking budgets. The role requires close collaboration with various campus offices. The ideal candidate will possess exceptional organizational skills, the ability to manage multiple projects, proactive problem-solving capabilities, discretion, excellent judgment, and meticulous attention to detail. This is a proactive, results-oriented position that demands an individual who can anticipate needs, remove operational obstacles, and effectively drive the President's priorities.

Requirements

  • Bachelor’s Degree required
  • 2-5 years of relevant experience, preferably in higher education, non-profit, or arts administration.
  • Strong written and verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to manage multiple assignments simultaneously in a well-organized fashion with a strong ability to prioritize.
  • Must be able to meet deadlines, adapt to shifting priorities and multi-task accordingly.
  • Self-motivated with a proven ability to work independently and as part of a team.
  • Ability to handle sensitive and confidential information appropriately and with discretion.
  • A professional and personable demeanor under pressure and with high-powered individuals is essential.
  • Meticulous attention to detail.
  • Proficient in Google Suite and Microsoft Office Suite.
  • Demonstrated ability to learn new systems quickly.

Responsibilities

  • Provide comprehensive administrative support to the President, including workflow management, scheduling, meeting communication, preparation, and follow-up, budget tracking, and invoice/expense processing.
  • Act as a key liaison and contact for senior administration (including Executive Council and Chief Officers), trustees, faculty, and external constituents.
  • Assist with key data management and reports.
  • Serve as the first point of contact, professionally representing the Office of the President and ensuring a welcoming environment and efficient office for all internal and external constituents.
  • Closely monitor office email accounts and respond to email and phone inquiries in a timely manner, fielding requests and questions from a wide variety of internal and external constituents.
  • Manage and update website content related to the Office of the President.
  • Assist with the planning and support of special events, conferences, and meetings as assigned.
  • Perform other duties as required and assigned.
