About The Position

Extell Financial Services, managed by EX Utah Development, is developing Deer Valley East Village, a world-class alpine village. This luxury resort village will include commercial space and set a new standard for alpine resorts. The Office and Administrative Coordinator will oversee and manage several offices, provide administrative support, schedule meetings and tours, assist VPs, and organize events.

Requirements

  • High school diploma required
  • Minimum of 2-5 years’ experience in comparable position
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite (Excel, Word, Outlook)
  • Knowledge of standard office administrative practices and procedures
  • Basic knowledge on how to operate standard office equipment as copier, stamp machine, etc.

Responsibilities

  • Perform administrative and office support activities
  • Oversees office management and IT coordination
  • Ensures facilities and systems are properly working
  • Manages inventory and the replenishment of office and kitchen supplies
  • Ensure office equipment is fully equipped to include paper and toner is sufficiently stocked
  • Ensures offices are cleaned and HR notices posted
  • Oversee and manage security contractor and staff parking
  • Schedules various department and staff meetings, as well as manages conference rooms
  • Creates staff memos and circulates HR notices
  • Responds to general development questions and requests for information
  • Arranges, inputs, and manages Utah’s internal properties’ lodging for staff and vendors
  • Organizes staff functions
  • Compiles credit cards reconciliations
  • Aids with staff travels; e.g., bookings, expenses, etc.
  • Picks up mail from post office, and creates labels and ships FedEx and USPS packages
  • Tours EB5 prospects
  • Assist with administrative task, reports, and special projects
  • Performs any additional duties assigned by manager
