About The Position

Ascend Wellness Holdings (AWH) is looking to hire a reliable and detail-oriented Administrative Mail Coordinator based in our Rochelle Park, NJ location! JOB SUMMARY The Administrative Mail Coordinator will manage, and process incoming corporate mail delivered to our Rochelle Park retail location. This role ensures that all corporate mail is collected, sorted, scanned, and distributed digitally to the appropriate departments and team members in a timely and organized manner. This position operates with a high degree of independence and will regularly handle sensitive, confidential, and proprietary corporate information including financial, legal, and operational documents. The ideal candidate demonstrates a strong sense of professionalism, discretion, and trustworthiness at all times.

Requirements

  • Must be at least 21 years of age.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy in document handling.
  • Comfortable using scanners, email, and basic office software (Microsoft Office or Google Workspace).
  • Ability to work independently and manage routine processes with minimal supervision.
  • Reliable and consistent attendance is essential to this role.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.

  • Prior administrative or office support experience in legal or medical industry preferred but not required.

Responsibilities

  • Visit the Rochelle Park store location twice per week to retrieve corporate mail from the secure lockbox.
  • Sort and organize all incoming mail by department, recipient, and priority level.
  • Open, review, and identify the correct recipient or department for each piece of correspondence.
  • Scan all documents and distribute them electronically to the appropriate recipients or internal teams.
  • Maintain an organized digital filing system for scanned documents as needed.
  • Flag and escalate urgent or time-sensitive correspondence for immediate attention.
  • Coordinate with corporate teams to ensure accurate and timely routing of documents.
  • Handle all financial, legal, and sensitive corporate documents with strict confidentiality and professionalism.
  • Track mail volume and report any irregularities, missing items, or concerns to the Corporate Administrator.
