About The Position

The Administrative Lead ensures the efficient operation of the childcare program by managing enrollment, billing, and family records, while serving as a primary point of contact for families. This role supports compliance with program policies and standards, provides resources and referrals, and fosters positive relationships with families and staff. The Administrative Lead also supports team members, addresses operational and childcare-related concerns, and maintains continuity of operations in the absence of senior leadership.

Requirements

  • A degree in Early Childhood Education, Child Development, or something similar is a plus OR relevant coursework and hands-on experience in childcare programs.
  • Must have strong communication skills and the ability to support and guide a team.
  • Comfortable handling emergencies and staying calm under pressure.
  • You’ll need to complete required training (CPR, First Aid, child development modules, etc.).
  • Must meet health and safety standards, pass drug test, and background checks, and be at least 18 years old.
  • Must have one of the following: completion of USMC Standardized Module training AND 12 months of experience as ASY-3 Program Assistant OR a Child Development Associate (CDA) credential AND 12 months of experience as ASY-3 Program Assistant.

Nice To Haves

  • Previous leadership or coordination experience in a childcare setting is highly desirable.

Responsibilities

  • Manage ProCare and Child Care Aware systems to ensure accurate registration and billing.
  • Oversee enrollment communications and maintain complete and accurate family records.
  • Provide resource and referral services, maintain waitlists, and communicate program information to families.
  • Maintain attendance records and required documentation in compliance with record-keeping and inspection standards.
  • Supervise staff in the absence of senior management to ensure adherence to policies and smooth operations.
  • Resolve conflicts and enforce regulations with professionalism and strong interpersonal skills.
  • Prepare correspondence and distribute program information.
  • Fulfill mandatory reporting requirements for suspected child abuse or neglect.
  • Provide classroom support as needed to maintain required staff-to-child ratios.
  • Perform other duties as assigned by the Childcare Director.
  • Adhere to all organizational policies and procedures.
