Role Summary The Administrative Lead is a proactive and independent administrative professional contributing high-quality business results coupled with wider business process thinking, planning and input, based on advanced knowledge of the business. Has extensive knowledge and key skills within assigned line. Has thorough knowledge of the broader organization and its impact on the assigned line. Uses knowledge to advise other administrative colleagues. Able to utilize network to answer questions outside of area of expertise. Identifies problems and relevant issues in ambiguous situations. Anticipates and resolves broad range of problems or conflicts

Requirements

  • High School Diploma or GED with at least 6 years of experience.
  • Excellent attention to detail and interpersonal skills.
  • Ability to work with confidential documents and information.
  • Strong communication and collaboration skills.
  • Ability to carry out all office functions proficiently and complete quality work on a timely basis.

Responsibilities

  • Provide comprehensive administrative support to multiple CDIS senior leaders, including daily calendar management, creating organizational charts, managing records, verifying data, responding to emails, and scheduling meetings.
  • Use own judgment to make decisions on complex, non-routine issues, within scope of responsibilities.
  • Determine own work priorities based on an understanding of department and senior leaders’ needs.
  • Interpret and relay most critical information to senior leaders.
  • Understand how decisions will impact Pfizer and use understanding when completing own work (e.g., plans around significant Pfizer events when scheduling large off-site).
  • Use in-depth understanding of Pfizer’s, the division’s, or the department’s organization structure to assist in supporting senior leaders/staff members.
  • Independently gathers information from across Pfizer from appropriate individuals to assist in solving a problem: Identify new resources to improve department operations and inform senior leaders.
  • Proactively anticipate customer needs/requests and take appropriate action.
  • Establish strategic, on-going relationships with key individuals in and outside of Pfizer.
  • Find innovative ways to overcome significant obstacles/barriers in order to resolve own work issues (e.g., determine how to get materials to senior leaders in a remote/foreign location).
  • Facilitate in the resolution of difficult issues and problems that arise within scope of responsibilities.
  • Identify administrative issues and recommend/lead/implement most appropriate solutions that impact completion of own work.
  • Identify and secure new or unique resources to implement solutions to complete own work (e.g., use network to identify new vendor).
  • Analyze the costs and benefits of a solution and present recommendations to senior leaders.
  • Evaluate solutions for effectiveness and incorporate learnings into future work (e.g. evaluates what went well and what didn’t after coordinating a large off-site event and incorporates effective methods).
  • Participate on behalf of senior leaders/department in internal/external situations within established guidelines (e.g., conducts initial screening interviews for Support Staff candidates).
  • Schedule and plan meetings or events for department/division, inviting appropriate internal/external individuals on behalf of senior leaders.
  • Independently participate on Pfizer task forces/committees within scope of responsibilities, keeping senior leaders aware of issues, as appropriate.
  • Assist senior leaders in the preparation of presentations.
  • Have accountability for special projects on a recurring or one-time basis from start to finish (e.g., plan and coordinate large off-site meetings, coordinate recruiting schedule and integration of new employees, conduct research/locate information via internet, library).
  • Create meeting agendas, schedule group and individual meetings, and issue meeting minutes for meetings and conference calls.
  • Organize documents, create and manage department distribution lists, maintain an inventory of files, and raise purchase requisitions and manage purchase orders through the Ariba system.
  • Lead others, monitor resources, provide input on performance assessments, and apply expertise to achieve broad objectives.
  • Complete complex assignments independently, ensure nonstandard work is reviewed for compliance and quality, and often designated as the lead for specific projects.
  • Demonstrate expert knowledge and proficiency with general office procedures such as, customer service, e-mail etiquette, commonly used office software and expert knowledge of Pfizer specific processes and procedures applicable to the line/Site (e.g., PT&E, ARIBA, BT on Demand platforms).
  • Skilled in utilizing the following Pfizer applications and systems: Teleconference Services, SharePoint, Get Service, Get Access).
  • Proactively balances tasks, activities and priorities for self and others.
  • Conduct all activities and make decisions that are in accordance with Company policies & SOPs, Pfizer Values, & global regulatory guidelines (including cGMP/cGLP/cGCP), environmental guidelines, as appropriate.
  • Demonstrate an in-depth understanding of Pfizer organization structure, protocols and products/services/ customers.
  • Uses Pfizer-wide network to coordinate more complex tasks/activities/projects.
  • Demonstrate an in-depth understanding of department/division operations, customers and goals/priorities
