About The Position

If so, the Infant and Toddler Connection (ITC) of Greater Prince William is looking for a full-time Administrative Coordinator. The Early Intervention Division is within Community Services and is committed to providing quality services to eligible children and their families to help them develop to their fullest potential by providing case management, therapy, and education services to infants and toddlers with special needs. Prince William County Community Services is located within easy commuting distance from Washington, D.C. and Northern Virginia. As an Administrative Coordinator in the Early Intervention (EI) Division, some of your key responsibilities include: Managing insurance needs, Obtaining timely authorizations, Communicating with insurers to maximize revenue, Completing referral intake calls, Assisting EI Families with insurance questions, Reviewing data reports, Tracking reimbursement trends, Ensuring regulatory compliance, including HIPAA, Providing staff training and supervision as needed. The administrative staff are the point of entry for referrals, and excellent customer service skills are essential. In this role, you will assist the admin support team with completing new referral intake calls. Collaboration will be essential as you work with teams across departments to collaborate, solve problems, identify efficiencies, manage data reporting, and support the department's mission to deliver quality services and maximize revenue and collections. Your expertise in reimbursement and insurance will be crucial. You will need the ability to adapt to new program requirements and navigate regulatory changes in government or healthcare settings. Proven experience delivering excellent customer service, providing insurance coordination, HIPAA compliance and securities, providing staff supervision and prioritizing tasks to meet deadlines will be essential for success in this role. A strong critical thinking mindset is needed to align administrative systems with program goals. With keen attention to detail and a deep commitment to customer service and insurance coordination, you will help support the department's mission and contribute to high-quality services. Requirements

  • High school diploma or GED
  • 3 years’ experience with insurance coordination (private and commercial) in a local government or healthcare system
  • 2 years of supervisory experience
  • Excellent customer service skills
  • Expertise in reimbursement and insurance
  • Ability to adapt to new program requirements and navigate regulatory changes in government or healthcare settings
  • Proven experience delivering excellent customer service
  • Proven experience providing insurance coordination
  • Proven experience with HIPAA compliance and securities
  • Proven experience providing staff supervision
  • Proven experience prioritizing tasks to meet deadlines

  • Valid driver's license and pass a DMV record check
  • Pass TB test
  • Pass and maintain first aid and CPR certification

  • Pass a search of the registry of founded complaints of child abuse and neglect maintained by the Department of Social Services

  • Proficiency in Microsoft Office, Outlook, Excel, Word, Teams, OneDrive, SharePoint
  • Experience working with Electronic Health Records, preferably Credible and TRAC-IT
  • Ability to handle multiple and varied tasks, to prioritize, organize, schedule and track
  • Spanish speaking
  • Previous Part C experience
  • Knowledge of the coaching style of interaction and the primary service provider service model
