Requirements

  • High school diploma or equivalent required
  • 2+ years of administrative, HR, or financial support experience (including recruiting and inventory control)
  • Proficiency in MS Office, financial/accounting systems, and HRIS/applicant tracking systems
  • Strong organizational, analytical, and communication skills with attention to detail
  • Ability to manage confidential and sensitive information
  • Customer service orientation, teamwork mindset, and flexibility to support cross-functional needs

Nice To Haves

  • Associate’s degree or HR/Accounting certification preferred
  • Experience in high-volume recruiting, inventory control, or manufacturing/distribution environments
  • Knowledge of employment laws, recruiting best practices, basic accounting, and inventory management principles

Responsibilities

  • Manage end-to-end recruiting: job posting, candidate screening, interview scheduling, and onboarding
  • Support HR administrative duties: employee records, personnel actions, benefits, and HRIS data entry
  • Assist with new hire orientation, background checks, and employment documentation
  • Maintain confidentiality and ensure compliance with policies and regulations
  • Process department invoices, expense reports, and purchase orders
  • Support payroll administration, including timekeeping review and data entry
  • Maintain accurate financial records, assist in budget tracking, and support month/year-end close
  • Reconcile daily inventory valuation, Accounts Receivable (A/R), and Inventory in Transit with the General Ledger (G/L)
  • Investigate and resolve lumber/product variances, collaborating with sales teams and customers
  • Coordinate annual physical inventory and assist Inventory Control Specialists (ICS) with cycle count discrepancies
  • Track and reconcile Vendor Managed Inventory (VMI); approve related invoices
  • Maintain and report monthly inventory adjustment metrics
  • Review, voucher, and submit branch payables and invoices for approval
  • Audit open Purchase Orders and flag discrepancies
  • Manage freight logistics: review carrier paperwork, audit rates, verify Proof of Deliveries, and release freight payments
  • Handle daily direct sales billing and manual credit/debit adjustments
  • Process returns, RMAs, short shipments, and vendor claims
  • Generate and review end-of-day Sales Order invoices
  • Scan, archive, and manage logistical documents
  • Assist with workforce time, attendance, and general system support
  • Serve as cross-functional backup for logistics, receiving, and warehouse billing desks
