About The Position

The Administrative and Executive Support Manager will be responsible for leading day-to-day business administration and operations for the Financial Services team including the AVC Financial Services & Controller and Directors of each unit. This includes providing support to executive leadership, managing business and office operations, overseeing the seamless coordination of operations and communication across teams and stakeholders, providing high-level project management, and developing and implementing processes and workflows. The individual in this position will work closely with Financial Services AVC and Directors and Staff in addition to coordinating closely with fellow colleagues across the CU system. The Administrative & Executive Support Manager will be responsible for managing logistics for high-priority initiatives and will serve as a trusted liaison, ensuring deadlines are met, relationships are proactively managed, and the AVC and leader commitments and strategic priorities are advanced. In partnership with the Project Director of Strategic Initiatives and Associate Director Fiscal Compliance, this role will assist with achieving high-level strategic projects and translating leadership initiatives into operations, workflows and Departmental objectives, across two campuses. Serving as a central connector, the Administrative & Executive Support Manager facilitates communication across teams and represents the AVC in correspondence and meetings as needed. The role is highly collaborative and requires a blend of organizational rigor, strong communication skills, and the ability to operate with discretion in a complex, matrixed environment. The Administrative & Executive Support Manager will exhibit exceptional judgment, skills, a high level of discretion, and the ability to proactively anticipate the needs of the AVC and leadership team. This person must thrive in a fast-paced, matrixed environment and be equally comfortable handling detailed administrative work and coordinating high-level partnership initiatives.

Requirements

  • Bachelor's degree from an accredited institution.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • At least 4 years of professional business administration or executive support experience.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.
  • High level of critical thinking, problem solving, collaborative teamwork and the ability to work independently.
  • Demonstrated proficiency in Microsoft Office programs.
  • Demonstrated ability to work independently, under pressure and with a sense of urgency, to manage multiple concurrent tasks and responsibilities, and to deal with changing priorities, while maintaining personal effectiveness.
  • Demonstrated high level of commitment to customer service.
  • Demonstrated ability to establish and maintain good working relationships with co-workers, supervisors, other University personnel, and the public.

Responsibilities

  • Manage the AVC Financial Services complex and often-changing calendar. Provide management support for the Financial Services Directors and unit leaders for more complex calendaring.
  • Remain aware of their current priorities and long-term goals so as to schedule meetings in the most effective and productive manner.
  • Conserve AVC time by reading, researching, routing, and drafting correspondence.
  • When appropriate, assist with anticipating needs and taking ownership of planning, executing, and delegating activities, creating an extra layer of accountability.
  • Manage and oversee day-to-day business, HR and administrative operations for all units in Financial Services, including oversight of projects, processes, services, communication and customer service.
  • Analyze office processes/procedures on a regular basis to identify and implement improvements.
  • Work closely with the Project Director and Associate Director Fiscal Compliance to support and execute ongoing strategic goals and change management initiatives that impact business, administrative, HR and fiscal operations.
  • Serve as point of contact for access to The Junction; managing The Junction supply needs, space questions, IT coordinator, scheduling, facilities issues, etc.
  • Provide back-up support to HR operations for Financial Services
  • Supervise the HR professional responsible for the recruitment, hiring and upkeep of position information for all units within Financial Services.
  • Responsibility would include onboarding of new employees to the office as well as interviews for exiting employees.
  • Evaluate staff for any skill or training gaps; develop staff through mentorship, goal setting and training.
  • Manage performance and development, including annual performance and ongoing development.
  • Serve the unit in variety special projects and roles as assigned.
