About The Position

Reporting to the Office Manager, you will provide administrative and operational support to executive leadership while helping coordinate activities across both our local and global organizations. Requirements

  • High School diploma or GED
  • 1+ years of experience in administrative support, office coordination, project coordination, customer service, or other business support role
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience coordinating meetings, travel, or events
  • Experience supporting leaders or cross-functional teams
  • Familiarity with SAP, Concur, Workday, or similar business systems
  • Experience working within a global organization
  • Outstanding organizational and time management skills
  • Strong written and verbal communication
  • Excellent attention to detail and follow-through
  • A proactive mindset and willingness to take initiative
  • Strong interpersonal skills and a collaborative approach
  • Professionalism and sound judgment when handling confidential information
  • The ability to manage multiple priorities in a fast-paced environment

Responsibilities

  • Coordinate executive calendars and meetings across multiple time zones
  • Prepare meeting agendas, presentations, briefing materials, and follow-up documentation
  • Assist with managing executive inboxes and help prioritize incoming requests
  • Maintain confidential information with professionalism and discretion
  • Coordinate onsite, virtual, and offsite meetings from planning through execution
  • Manage conference room bookings, catering, meeting technology, and event logistics
  • Support executive visits, leadership meetings, employee events, and town halls
  • Arrange domestic and international travel; prepare detailed itineraries and travel documentation; process expense reports and assist with travel reconciliation
  • Process purchase requisitions, invoices, and administrative expenses
  • Support budget tracking and reporting
  • Coordinate office supplies and vendor relationships
  • Track action items and help ensure projects stay on schedule
  • Partner with colleagues across local and global teams to coordinate business activities and build/maintain positive relationships with internal and external stakeholders
