About The Position

The Administrative Coordinator will provide professional guidance, supervision, and coordination in the administrative duties of the Biochemistry & Molecular Biology department, specifically focusing on the graduate program. This role involves managing various aspects of student recruitment, admission, enrollment, course development, scheduling, and record-keeping, ensuring compliance with institutional and accreditation policies.

  • 2 years of related experience

Responsibilities

  • Plans, organizes, and coordinates administrative duties pertaining to the graduate program.
  • Assists students with all phases of recruitment, admission, enrollment, and course assignments.
  • Manages the new student application process, including sending information, following up on applications, circulating applications to faculty for review, coordinating recruitment events, and scheduling.
  • Follows each student during registration to ensure enrollment in correct courses and course units, gathers funding information from mentors, and processes tuition sponsorship forms.
  • Ensures students meet milestones toward candidacy or final defense, including periodic Academic Advisement Report review.
  • Assists faculty members in GSBS course development and effort reporting.
  • Manages the collection of data for teaching effort for BCMB courses and enters it into the POWER database.
  • Manages BCMB course scheduling (time and location), setting up courses in Campus Solutions (mySTAR), maintaining an overall roster of courses, entering grades (MyStar and RedCap), and distributing and collecting course evaluations.
  • Assists with new course development and coordinates with GSBS and enrollment services for new course approvals.
  • Coordinates and develops special graduate program projects and reports.
  • Manages committee meetings for the BCMB Graduate Program, including Admissions & Recruitment Committee, Credentials Committee, Curriculum & Advisory Committee, and BMB Seminar Committee.
  • Manages all student seminars, including annual seminars, qualifying exams, and defense of dissertation.
  • Manages program faculty candidate seminars.
  • Assures compliance of the graduate program with institutional and accreditation policies.
  • Interprets rules, regulations, and policies and executes them as applicable.
  • Updates the BCMB Program Policy Manuals as needed.
  • Manages payment processes for student tuition and fees.
  • Maintains and regulates student records in compliance with institutional records retention requirements.
  • Manages the graduate program budget and endowment funds.
  • Adheres to internal controls established for the department and GSBS.
  • Performs other related duties as assigned.
