Administrative Coordinators are vital to the community’s success, assisting with Human Resources, Business Operations, Concierge and overall administrative facilitation for the community.

Requirements

  • Minimum high school diploma; associate or bachelor’s degree in business, accounting or related field preferred.
  • Minimum 3 years’ bookkeeping, human resources, and/or office experience.
  • Typing and telephone skills, use of calculators, computers, copy machines, familiarity with chart of accounts, basic bookkeeping skills, payroll skills, tax reports, financial reports, government agencies that relate to finances (Department of Labor and IRS), and W-2, W-4, W-9 and 1099 Forms.
  • Work well with people including staff, residents and families.
  • Meet deadlines, organize and prioritize the workload.
  • A positive attitude, compassion for the elderly and thoughtful conduct are important.

Responsibilities

  • Manage the Concierge team and perform duties of the Concierge role for a portion of work hours.
  • Partner with the Business Office Manager to complete duties of the business office that need to happen in person, including bank activity, resident interactions related to billing and monthly payments, partnership on accounts receivable, long-term care management, spend down management, tracking non-recurring resident charges-reimbursables, ordering supplies, making nametags, assisting with interviews and orientations, paycheck delivery tracking and distribution, onsite Open Enrollment facilitation, and ensuring proper labor law posters are posted.
  • Maintain OSHA log for team member injuries and/or reportable events.
  • Work with the Executive Director and Marketing Department to ensure coordination of resident move-ins, move-outs, and day-to-day administration needs of the residents are met.
  • Liaison with Business Operations, Human Resources, Talent Acquisition, and Payroll departments from the Home Office.
  • Maintain professional confidentiality.
  • Perform other duties as specified by Executive Director and Home Office support teams.
