About The Position

The Center of Excellence for Structural Cell Biology at St. Jude Children's Research Hospital is seeking an experienced Administrative Specialist to support faculty, scientists, and leadership within a highly collaborative and innovative scientific environment. This individual will serve as a key administrative partner, helping coordinate complex activities, support recruitment and onboarding efforts, manage logistics for visitors and events, and facilitate collaboration across St. Jude. Requirements

  • High school diploma/GED required.
  • Minimum Requirement: 6+ years experience in administration or related area.
  • Experience Exception: Bachelor's degree and 2+ years experience in administration or related area.
  • Experience in event coordination and vendor management.
  • Experience in managing communication with variety of stakeholders with tact and sensitivity.
  • Experience managing documentation, generating reports and doing simple analysis.
  • Substantial experience working with office technologies including Microsoft Office (Word, Excel, PowerPoint, etc.).

Responsibilities

  • Provide high-level administrative support to Center faculty, scientific staff, and leadership.
  • Manage complex calendars, travel arrangements, meetings, and visitor logistics.
  • Coordinate recruitment visits, onboarding activities, and collaborations with institutional partners.
  • Serve as a liaison with departments such as HR, IS, Facilities, Finance, and other St. Jude teams.
  • Process purchasing requests, expense reports, invoices, vendor additions, and related transactions.
  • Support Center events, symposium planning, and Director-led meetings.
  • Maintain tracking systems for projects, approvals, deadlines, and operational activities.
  • Prepare reports, presentations, and administrative documents.
  • Handle confidential information with professionalism and discretion.
  • Help develop and maintain Center SOPs, policies, and administrative processes.
