About The Position

The Center of Excellence for Structural Cell Biology at St. Jude Children's Research Hospital is seeking an experienced Administrative Specialist to support faculty, scientists, and leadership within a highly collaborative and innovative scientific environment. This individual will serve as a key administrative partner, helping coordinate complex activities, support recruitment and onboarding efforts, manage logistics for visitors and events, and facilitate collaboration across St. Jude.

Requirements

High school diploma/GED required.
Minimum Requirement: 6+ years experience in administration or related area.
Experience in event coordination and vendor management.
Experience in managing communication with variety of stakeholders with tact and sensitivity.
Experience managing documentation, generating reports and doing simple analysis.
Substantial experience working with office technologies including Microsoft Office (Word, Excel, PowerPoint, etc.).

Nice To Haves

Bachelor's degree preferred.
Experience Exception: Bachelor's degree and 2+ years experience in administration or related area.

Responsibilities

Provide high-level administrative support to Center faculty, scientific staff, and leadership.
Manage complex calendars, travel arrangements, meetings, and visitor logistics.
Coordinate recruitment visits, onboarding activities, and collaborations with institutional partners.
Serve as a liaison with departments such as HR, IS, Facilities, Finance, and other St. Jude teams.
Process purchasing requests, expense reports, invoices, vendor additions, and related transactions.
Support Center events, symposium planning, and Director-led meetings.
Maintain tracking systems for projects, approvals, deadlines, and operational activities.
Prepare reports, presentations, and administrative documents.
Handle confidential information with professionalism and discretion.
Help develop and maintain Center SOPs, policies, and administrative processes.
