About The Position

Embry-Riddle Aeronautical University is seeking a highly organized and customer-focused Administrative Coordinator to support the Office of Philanthropy & Alumni Engagement on the Prescott Campus. This role serves as a key administrative resource for advancement leadership and fundraising staff while helping coordinate donor engagement activities, special events, and daily office operations. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional attention to detail, and enjoy building relationships with internal and external stakeholders.

Requirements

  • Associate degree or completion of a post-secondary program of at least 18 months beyond high school required.
  • One to three years of administrative or office support experience required.
  • Proficiency with Microsoft Office Suite and web-based applications.
  • Strong organizational, multitasking, and problem-solving skills with exceptional attention to detail.
  • Demonstrated professionalism, customer service orientation, and ability to interact effectively with a variety of stakeholders.
  • Ability to prioritize competing responsibilities and work independently in a dynamic environment.

Nice To Haves

  • Experience in higher education is preferred.
  • Experience with Workday or similar enterprise systems is preferred.

Responsibilities

  • Provide administrative support to advancement leadership, including the Assistant Vice President and Directors, and assist with the day-to-day operations of the Prescott Office of Philanthropy & Alumni Engagement.
  • Manage office logistics, including inventory management, supply ordering, visitor reception, and processing donor gift payments received by the office.
  • Coordinate financial and administrative transactions, including purchase orders, reimbursements, check requests, and vendor communications.
  • Support the planning and execution of meetings, donor events, alumni engagement activities, scholarship functions, commencement activities, and Board of Visitors meetings.
  • Coordinate event logistics, including catering, room reservations, technology support, RSVPs, invitations, and event setup and breakdown.
  • Serve as a liaison between the Prescott Campus and Donor Relations team to support donor stewardship and recognition activities.
  • Provide administrative support to fundraising staff, including travel coordination, expense report processing, and preparation of gift documentation.
  • Assist with special projects, reporting, and constituent data initiatives as assigned.
