About The Position

We are seeking an experienced Administrative Coordinator to support recruiting functions, scheduling, and dispatch operations while ensuring proper staffing coverage and compliance across all sites.

Requirements

  • 4+ years of administrative experience (HR or recruiting support preferred).
  • Experience handling confidential employee records and organized documentation.
  • Proficient in PAYCOR, Win Team, Microsoft Office, and background screening systems.
  • Comfortable with Zoom, Microsoft Teams, Lighthouse, and Samsara.
  • Strong organizational and multitasking skills in a fast-paced environment.

Responsibilities

  • Operate multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Maintain employee files and assist with recruiting, onboarding, and documentation.
  • Provide exceptional customer support through phone, email, and in-person interactions while maintaining high levels of professionalism
  • Perform clerical duties including filing, photocopying, typing documents, and managing office supplies to keep the workspace organized and functional
  • Monitor site staffing in Win Team; resolve call-offs and coverage gaps.
  • Support scheduling and dispatch operations during shift.
  • Conduct officer wellness checks and identify training needs.
  • Answer and log incoming calls; escalate emergencies immediately.
  • Complete end-of-shift dispatch reports.
  • Monitor GPS and reporting systems for compliance and safety issues.
