About The Position

We are seeking a highly organized and detail-oriented Administrative Coordinator to support senior leadership within a dynamic healthcare environment. This role requires strong administrative, communication, and analytical skills, along with the ability to manage multiple priorities while maintaining strict confidentiality.

Requirements

  • Minimum 2 years of administrative experience in a healthcare environment (or recent healthcare exposure)
  • High School Diploma or GED
  • General knowledge of healthcare operations and/or private practice settings
  • Strong organizational and prioritization skills
  • Excellent communication and interpersonal abilities
  • High attention to detail and ability to maintain confidentiality
  • Ability to multitask and adapt to changing priorities
  • Quick learner of internal systems and processes
  • Strong problem-solving and critical thinking skills
  • Professional demeanor with the ability to build rapport across all levels
  • Ability to travel between office locations as needed (primarily based at the Westminster office)
  • Flexibility, reliability, and strong follow-through
  • Ability to work under high expectations and meet deadlines

Responsibilities

  • Provide comprehensive administrative support to senior leadership with minimal direction
  • Manage and maintain filing systems, including document completion, distribution, and tracking
  • Update and maintain internal records such as staff lists, physician details, and location information
  • Ensure timely completion of assigned tasks and adherence to organizational policies
  • Assist with hiring processes: screening candidates, scheduling interviews, and preparing onboarding materials
  • Support onboarding activities and training coordination
  • Deliver OSHA & HIPAA training to new hires and ensure annual compliance for all staff
  • Monitor and support general HR practices as assigned
  • Sort and distribute daily mail; scan and upload relevant documents to internal systems
  • Manage staffing agency timesheets, including tracking, cross-checking, and approvals
  • Track annual performance reviews and notify department managers
  • Ensure staff compliance with OSHA protocols, including Hepatitis B requirements
  • Coordinate staff appreciation initiatives, including purchasing and distributing recognition items
  • Track long-service awards
  • Monitor and report no-show billing on a weekly basis
  • Maintain accurate and up-to-date documentation across departments
