About The Position

The Tomahawk Program Management Office is seeking an Administrative Coordinator to support the Tomahawk program within the Naval Air Missiles SSBU by providing a full range of direct administrative assistance. This position will report to the Tomahawk Senior Director and may support other leaders within the Tomahawk leadership team. The ideal candidate will demonstrate strong competencies in communication, organization, and technology. They will also exhibit sound judgment, teamwork, and a commitment to customer service. The candidate should be comfortable working in a fast-paced, dynamic environment and able to adapt to changing priorities. This is an onsite position at our Tucson, AZ facility. Relocation assistance is NOT available currently.

Requirements

  • HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
  • Experience with the Microsoft Office Suite
  • Prior experience as an administrative assistant supporting various levels of an organization and leaders
  • U.S. citizenship is required, as only U.S. citizens are eligible for a security clearance
  • The ability to obtain and maintain a U.S. government issued security clearance is required.
  • Active and existing security clearance required after day 1

Responsibilities

  • Provide a comprehensive range of direct support to program leaders.
  • Manage calendars and regularly set up, coordinate, and distribute meeting materials. Proactively schedule walk-ins for meetings. Ensure meeting materials are distributed in a timely manner and archived on the R-Share site.
  • Prepare travel reservations, travel agendas, offsite meetings and events, and expense statements.
  • Support personnel onboarding and relocations, including requisitioning supplies, coordinating with DT Services, and initiating HR and supervisor updates.
  • Set up meetings, schedule rooms, and coordinate and distribute materials across multiple sites using various types of equipment and software. Order and expense catering when necessary.
  • Proactively recommend system efficiencies to achieve organizational goals.
  • Effectively manage tasks under time constraints in a fast-paced work environment and handle multiple priorities.
  • Be a self-starter, detail-oriented, technically savvy, and possess excellent organizational skills.
  • Display a high level of professionalism and maintain discretion and confidentiality of sensitive information.
  • Be willing to travel between sites as needed.
  • Provide backup support to other Naval Air Missiles Executive Assistants as required.
  • Exhibit a high degree of professionalism in all interactions and responsibilities.
