About The Position

The Administrative Coordinator provides direct administrative support to the Accessibility Center staff, including the Student Disability Center director or Assistive Technology Resource Center director. This role serves as the main point of contact for students, faculty, staff, and visitors interacting with the department. The position oversees the day-to-day operational management of reception duties and budgetary tasks. Reception duties encompass providing information, scheduling, and record-keeping. Budgetary tasks include managing travel arrangements and documents, payroll, and overseeing budget expenditures. This position also collaborates with other Accessibility Center staff on recruitment, hiring, and supervision, supporting onboarding functions for new staff (both students and full-time). This includes facilitating IT-related needs, ordering supplies, and organizing ergonomic assessments. The position will have direct supervision of student staff and Accessibility Center staff.

Responsibilities

  • Coordinates department supply orders, including researching and contacting vendors, negotiating and procuring quotes, generating purchase orders, working with CSU purchasing agents, ordering and distributing office supplies, negotiating catering services, and processing travel documents.
  • Provides higher-level administrative support for the Student Disability Center director and Assistive Technology Resource Center director.
  • Coordinates meetings for staff, including making appointments for professional staff and scheduling coverage for university events needing Accessibility Center representation.
  • Performs clerical duties such as printing, scanning, filing, and labeling.
  • Oversees university mailing procedures and maintenance of copiers, scanners, faxes, phones, and other equipment within the department.
  • Provides administrative support on search committees for full-time positions and acts as search support.
  • Serves as department liaison and resource for human resources, including facilitating hiring for all new employees (student and full-time).
  • Processes all travel documents.
  • Acts as Liaison to the Office of the Provost Financial Administrative Assistant.
  • Oversees and manages the Accessibility Center’s financial transactions, including Kuali financial document initiation, processing accounts payable and accounts receivable, and PCard documentation and reallocation.
  • Collects and records expenditures/receipts.
  • Provides project management, including taking meeting minutes, establishing and maintaining deadlines for Accessibility Center projects, following up on project progress, coordinating data collection, creating annual reports, and contributing to the Accessibility Center’s strategic plan review and revision process.
  • Maintains office compliance with state and federal laws, including Section 504 of the Rehabilitation Act of 1973 and the ADA, tracks voting forms given to students, and reports activity to a federal reporting agency.
  • Recruits, hires, supports mentorship and evaluation of student staff for operations of the Accessibility Center.
  • Develops and leads student employee training and recognition activities.
  • Oversees bi-weekly meetings and bi-weekly payroll approvals.
