About The Position

The Administrative Coordinator II coordinates administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • Three years of experience in office administration.
  • Working knowledge of spreadsheet, presentation, and word processing software programs.
  • Ability to plan and organize effectively.
  • Ability to multi-task and work cooperatively with others.
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and ability to work collaboratively

Responsibilities

  • Assists staff with sharing and storage of essential team documents.
  • Maintain office supplies and equipment.
  • Apply, interpret, and communicate university policies and procedures.
  • Attends meetings or committees on behalf of supervisor.
  • May coordinate travel arrangements and prepares itineraries.
  • Plans and coordinates meetings, seminars, and other special events.
  • Coordinates the maintenance of office supplies and equipment.
  • Makes recommendations for process improvements, administrative changes, office enhancements or new initiatives.
  • Provide administrative support to the Athletics IT staff.
  • Serve as one of the first line of contact for staff seeking help, managing inquiries via phone, text, and office-wide email accounts.
  • Maintain open communication lines between office staff, student employees, customers and other University offices.
  • Composes correspondence and assists in the preparation of reports, publications, and presentations, including editing and proofreading.
  • Assists with incident response and notifications.
  • Serves as liaison to campus offices regarding telecommunications, equipment inventory, invoices, etc.
  • Serves as contact person and liaison with building manager regarding any office repairs, security, and other facility/space concerns.
  • Screens and refer questions from parents, students, and other visitors, making referrals to university offices as needed.
  • Provide training and direct supervision of student workers when direct supervisors are not present.
  • Assists with maintenance of event schedules and staffing.
  • Maintains continual and thorough familiarity with all applicable NCAA, Conference, and University rules and regulations.
  • Establishes and ensures communication and enforcement of rules and regulations concerning student-athletes: conduct, appearance, road games, punctuality and other areas as deemed appropriate.
  • Maintains awareness of and supports the initiatives of the Athletics Department.
  • Performs other duties as assigned.
