About The Position

The Department of English at Texas A&M University is seeking an organized and detail-oriented Administrative Coordinator II to oversee administrative support for the Undergraduate Office. This position is responsible for coordinating course scheduling activities, managing scheduling systems (Access, COMPASS, and ASTRA), assigning instructors, monitoring enrollment demand, and maintaining course prerequisites, restrictions, and enrollment caps. In addition, the role supervises Undergraduate Office operations and contributes to the efficient delivery of services that support student success and departmental excellence.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Three years of experience in office administration.
  • Ability to speak and work with other administrators and professors comfortably.
  • Three years of experience in office administration or project management.
  • Working knowledge of spreadsheet, presentation and word processing software programs.
  • Ability to plan, be detail oriented, and organize effectively.
  • Ability to multi-task and work cooperatively with others as a team player.
  • Excellent written and oral communication skills.
  • Strong interpersonal skills.

Nice To Haves

  • Five years of administrative and supervisory experience.

Responsibilities

  • Serve as the primary resource for scheduling matters, resolving complex teaching schedule issues and collaborating with departmental and university stakeholders.
  • Create and manage directed studies, internship, and research courses.
  • Lead administrative operations for the Undergraduate Office, including supervising student workers and supporting office staff and academic advising functions.
  • Oversee academic records processes, including grade changes, incompletes, excessive absence forms, Q-drops, and directed studies applications.
  • Maintain undergraduate program records and files in compliance with university records retention requirements.
  • Support undergraduate governance by coordinating committee meetings, participating in curriculum and policy discussions, and representing advising staff perspectives.
  • Assist with student recruitment initiatives, including new student conferences and departmental outreach activities.
  • Administer scholarship and award programs by coordinating application and selection processes, maintaining records, communicating with Financial Aid, and processing scholarship funding.
