About The Position

The Administrative Care Coordinator will provide essential support to the Arizona Army National Guard's Office of the State Surgeon (AZARNG) by delivering comprehensive administrative, medical readiness, and case‑management assistance to Soldiers across assigned units. This role ensures the accuracy, continuity, and compliance of medical documentation; facilitates timely coordination of healthcare appointments and assessments; and maintains critical data within Army medical readiness systems. Through consistent communication with Soldiers, providers, and leadership, the Coordinator strengthens overall force readiness and contributes to the effective operation of the Medical Detachment.

Requirements

  • Must be a U.S. Citizen.
  • National Background Check with Inquiries and Fingerprints, and Drug Screen.
  • Associate's degree in a related field (e.g., Healthcare Administration, Business Administration, Public Health)
  • Experience working within a healthcare setting
  • Certification in Cardio-Pulmonary Resuscitation (CPR) for Healthcare Providers by the American Heart Association.

Responsibilities

  • Review correspondence for format accuracy and content in accordance with Army Correspondence Regulations [AR 25-50] and Department of the Army Memo 25-52.
  • Assist in resolving scheduling conflicts for Soldiers needing Medical or Dental care as assigned by the Case Manager.
  • Handle all contacts and work closely with other offices on related medical issues.
  • Prepare reports and answer ad hoc queries using data from the Army National Guard (ARNG) Patient Tracking Report in the GKO and Soldier Patient Locator (SPL) modules of the Medical Operational Data System (MODS).
  • Perform administrative support to medical portions of the State Soldier Readiness Processing (SRP) Program.
  • Assist the case management team in managing their caseload/workload.
  • Document all case management activities in the appropriate Army National Guard electronic data system in current use (eCase).
  • Know the regulations and policies that apply to Individual Medical Readiness (IMR) and deployment.
  • Telephone Soldiers and medical/dental offices to obtain information as directed by the case manager.
  • Assist in resolving scheduling conflicts for Soldiers needing medical, mental/behavioral, or dental care as assigned by the case manager.
  • Obtain the proper release of information forms from Soldiers and medical/dental offices and assist in collecting medical documents when the Soldier cannot.
  • Place and maintain all medical documentation in the appropriate electronic record (Health Readiness Record) as well as the hard copy medical record (Medical Record Repository) that includes filing, scanning, and maintaining all medical documents as directed by the State Patient Administrative Officer and by Army Regulation 40-66 Medical Record Administration and Health Care Documentation.
  • Maintain medical or hospital contacts for case updates and medical records.
  • Prepare for, be involved in, and document Medical Management Processing System (MMPS) team case meeting as directed by the case management team and/or Deputy State Surgeon (DSS).
  • Perform database system functions as required in electronic data systems used by the Army National Guard to include but not limited to: Medical Chart (MEDCHART), Automated Voucher System (AVS), eCase, Health Readiness Records (HRR), eProfile, Line of Duty (LOD), electronic Medical Management Processing System (eMMPS), Dental Classification Module (DENCLASS), Warrior Transition Units (WTU), Soldier Locator, and Theater Medical Data Store (TMDS).
  • Regularly scrub electronic data system modules eProfiles/Medical Data Protection System (MEDPROS)/Deployed/Deployment Personnel Readiness (DPRO), DENCLASS to assist in early identification of non-deployable Soldiers, and Soldiers requiring Periodic Health Assessment.
  • Track Soldiers in all medical readiness categories as directed by the case management team/Deputy State Surgeon.
  • Attend and perform administrative support at medical portions of the State Soldier Readiness Processing Program, Fit for Duty Evaluations, and annual Periodic Health Assessments.
  • Provide regular updates and reports on all administrative activities to the case manager.
  • Coordinate care received by TRICARE and by the Defense Health Agency-Great Lakes (DHA-GL), formerly known as Military Medical Support Office (MMSO), to obtain pre-authorization (s) for treatment (coordinated through the Health Systems Specialist).
  • Coordinate service member care including consults for those initially using Military Treatment Facilities (MTF), VA, TRICARE network provider, and/or non-network providers.
  • Establish a list of available local resources within the state to coordinate care and ensure service members have alternative options available to receive medical care if not eligible for military health benefits.
  • May be required to travel to alternative sites for Medical Events.
  • Document results of bi-monthly (at a minimum) case review in the referrals tab of the appropriate medical record system.
  • Ensure proper data entry of all Service Members (SM) medical information in appropriate Medical Operational Data System (MODS).
  • Coordinates with SM to ensure all medical readiness issues are properly addressed to minimize the amount of time in non-deployable status.
  • Performs initial and follow-up SM review to ensure quality of patient care and ensures the SM understands their responsibilities in accordance with Standards of Medical Fitness [AR 40-501] Chapters 9 and 10.
  • Coordinate continuity of care plans and all referrals when the care is being resourced by the government.
  • Comply with and maintain access all regulations and guidance that are applicable to medical operations and programs of the Arizona Army National Guard.
