About The Position

Fora is seeking an exceptional Administrative Business Partner to directly support the Chief Product & Technology Officer (CPTO), a co-founder who leads the Product, Engineering, Design, and Product Operations organizations. This role is crucial for the CPTO's daily operations, encompassing high-volume email management, intricate scheduling for both professional and personal calendars, travel arrangements, conference and event preparation, and executive coordination to ensure key objectives are met. The position requires close collaboration with the CPTO's Chief of Staff, product and engineering leadership, and other senior executives and their teams. This is an opportunity for an individual who views administrative work as a skill to be honed and is eager to grow within a rapidly scaling company. The ideal candidate will proactively anticipate needs, drive operational efficiency within the CPTO's office, and communicate effectively with diverse audiences, thereby enhancing the impact and productivity of the leadership they support. A strong sense of empathy and hospitality is essential, ensuring all interactions, whether with board members, partners, candidates, or junior employees, leave individuals feeling well-supported. This role acts as both a gatekeeper and an accelerator, safeguarding the CPTO's time while removing obstacles. The candidate must quickly grasp context, anticipate requirements, and bring sound judgment and discretion to all situations. Proficiency in modern AI tools is expected, with a continuous drive to automate manual tasks and build efficient workflows. Beyond operational support, this role involves acting as a thought partner to help the CPTO perform at their highest level.

Requirements

  • 3-6 years of Administrative Business Partner (ABP) or Executive Assistant (EA) experience, including direct support of a senior executive (VP, C-level, or founder) at a high-growth startup or scaled tech company
  • Hands-on, daily use of AI tools (ChatGPT, Claude, Granola, Notion AI, or similar) in your current workflow — not just experimenting, but actually leveraging them to move faster
  • Exceptional written and verbal communication; you can adopt your principal's voice when needed and write something they'd be proud to send
  • Strong organizational instincts, with fluency in Google Workspace, Slack, Notion, and modern calendar/travel tooling
  • Sharp judgment under pressure, with a strong sense of what's urgent, what's important, and what can wait
  • Comfortable acting as an accountability partner to the CPTO, tactfully surfacing commitments, deadlines, and follow-ups when needed.
  • Deeply discreet and trustworthy; comfortable holding confidential information across product roadmaps, hiring, comp, and board matters
  • Bias toward action — you'd rather make a decision and adjust than wait for direction on things that don't need it
  • Meticulous attention to detail and a high bar for precision — typos, missed details, and dropped balls bother you, and you build systems so they don't happen
  • Warm, empathetic, and naturally hospitable — you make everyone you interact with feel well taken care of, whether they're a board member or a new hire
  • Low-ego and genuinely curious; you build great relationships across functions and seniority levels
  • Based in New York City and able to work in person 4 days/week from our Tribeca/FiDi office

Responsibilities

  • Manage a high volume of email and correspondence on behalf of the CPTO — triaging, drafting, responding, and ensuring nothing falls through the cracks.
  • Own scheduling and calendar management across both work and personal calendars.
  • Build a deep understanding of the CPTO's priorities so you can optimize time, prioritize commitments, protect deep-work time, balance internal and external commitments, and un-block the team.
  • Coordinate travel planning, including multi-leg itineraries, partner visits, and offsite logistics.
  • Support the execution of internal and external meetings, conferences, and offsites, including logistics, briefing materials, attendee context, and pre- and post-event follow-ups.
  • Coordinate across executives and their teams — partnering closely with the Chief of Staff to the CPTO, product and engineering leaders, and other senior executives and their staff.
  • Use AI tools (ChatGPT, Claude, Granola, Notion AI, and others) to compress turnaround on briefings, summaries, drafts, research, and recurring workflows — and bring new tooling ideas to the table.
  • Draft, edit, and send communications on the CPTO's behalf — internal Slack messages, candidate outreach, partner emails, and board prep notes.
  • Develop a task management system that maintains visibility on competing tasks and deadlines across the CPTO's commitments, and quietly drive open items to closure.
  • Manage expenses, vendor relationships, and administrative workflows tied to the CPTO's office.
  • Handle highly sensitive information — personnel matters, financials, board materials, candidate pipelines — with absolute discretion.
