About The Position

OpenAI for Government partners with U.S. and allied government institutions to support the responsible adoption of AI across defense, intelligence, and civilian agencies. This role will support leaders on two teams: OpenAI for Government and Global Affairs. The OpenAI for Government team works across federal, state, and local governments to accelerate adoption through hands-on support, tailored training, and early insights. The Global Affairs National Security team shapes OpenAI’s engagement with senior national security leaders and policymakers globally, working at the intersection of frontier AI, geopolitics, and defense. Administrative Business Partners serve as trusted advisors and collaborators to OpenAI's executives and leaders, focused on strong communication and operational excellence. They anticipate needs, streamline processes, and provide comprehensive support to ensure executives can focus on high-impact initiatives. The leadership team is mission-driven, kind, and thoughtful, fostering collaboration, open communication, and authenticity.

Requirements

  • 4-7 years of experience in an executive support role or similar support function.
  • 2-3 years of experience managing complex scheduling, logistics, and high-level meetings with senior government, defense, and international leaders, including coordinating clearances, handling sensitive information, and navigating agency systems and protocols.
  • Proven experience working with multiple leaders in the past.
  • Worked in a high-growth startup, or similar environment.
  • Managed and optimized extremely busy calendars.
  • Exceptional attention to detail and a high bar for quality, with the ability to anticipate issues, catch small errors before they become larger problems, and ensure every deliverable, meeting, and interaction is executed to a polished standard.
  • Flawless execution skills for events and meetings of all sizes.
  • Exceptional communication skills - being able to tailor a message appropriate to a specific audience.
  • Ability to motivate and align teams, driving accountability and helping leaders and cross-functional partners stay focused on shared priorities.
  • Proven ability to build processes and operational systems from the ground up, bringing structure to ambiguity and creating scalable ways of working in fast-moving, high-growth environments.
  • Professionalism and Discretion - You understand the balance between transparency and confidentiality.
  • Independent Task Level Operator
  • Very fluent in Google Calendar, Docs, Sheets, Gmail, etc. and other modern productivity software, and are excited to learn and use new tools.
  • Genuine interest in the technology we’re building and the transformative potential of AI.
  • Experience with leveraging AI tools to make complex workflows more efficient.

Responsibilities

  • Build strong connections within Global Affairs and OpenAI for Government, and forge connective tissue between the two teams to help them operate together more seamlessly.
  • Expertly manage the calendars, scheduling, and logistics of leaders in both organizations across classified and unclassified engagements.
  • Excel in sharing information clearly and efficiently, adapting communication styles for different audiences.
  • Operate with discretion and independence, proactively optimizing processes and flagging risks, while ensuring sensitive information is handled securely and in compliance with government protocols.
  • Serve as an execution lead for major OpenAI for Government and Global Affairs events, government workshops, sponsorships, training, and customer meetings.
  • Serve as a strategic operations partner to the National Security team, helping run the team’s operating cadence across planning cycles, leadership priorities, travel rhythms, and internal communications.
  • Work closely with OpenAI for Government’s chief of staff to build and scale the team’s strategic processes and operating systems, including developing and maintaining an annual planning calendar, coordinating milestones, owning and maintaining team information architecture, keeping onboarding materials and processes current, and tracking headcount growth needs.
  • Initiate teambuilding activities, such as happy hours, trainings, off-sites, and outings.
