About The Position

The Administrative Associate 3 provides comprehensive administrative support to the Division of Child and Adolescent Psychiatry, ensuring effective communication, scheduling, and operations across affiliated institutions and community partners.

Requirements

  • High School Diploma or GED. (TRANSCRIPT REQUIRED)
  • Four (4) years of administrative support experience; OR Bachelor’s Degree in lieu of experience; OR a combination of education and experience to equal four (4) years.
  • Proficiency in financial systems.
  • Superior proficiency in Microsoft Office: Outlook, Word, PowerPoint, and Excel.
  • Excellent interpersonal, oral and written communication skills.
  • Ability to prioritize work and maintain confidentiality.
  • Ability to work independently as well as collaboratively.
  • Skill in developing correspondence and proofreading for accuracy with close attention to detail.

Responsibilities

  • Schedules monthly division faculty meetings.
  • Assists the Division Director in scheduling meetings with Le Bonheur and ULPS leadership, as well as community partners.
  • Processes initial travel requests and coordinates travel plans for the Director and other parties, as assigned.
  • Processes and pays various departmental invoices, petty cash, and transfers.
  • Processes payment requests in coordination with departmental financial staff; reviews incoming invoices related to project activities and ensures satisfactory delivery of goods or services and obtains proper approvals of payments.
  • Collaborates with the Department’s Business Office, Partnerships and Sponsored Programs Office, Budget and Financial Affairs Office, Human Resources, Office, Disbursements Office and others on campus to provide support materials for policy and grants compliance.
  • Supports the development and maintenance of onboarding/offboarding checklists for faculty and staff.
  • Maintains and organizes the division’s SharePoint drive with relevant documents.
  • Performs other duties as assigned.
