Our Americas Distribution Services Division (ADSD) provides governance and administration of Cat® dealers across the U.S., Canada, and Latin America. As an Administrative Assistant supporting the Americas Distribution Services Division (ADSD), you will provide high-level administrative and operational support to a group of Vice Presidents, ensuring seamless coordination of schedules, communications, and day-to-day office operations.

  • Microsoft Office: Knowledge of Microsoft Office; ability to use the features and functions in Microsoft Office products.

  • Previous experience supporting senior leaders
  • 5 to 10+ years previous experience as an Administrative Assistant/Personal Assistant
  • Previous project management experience

Responsibilities

  • Manage calendars, meeting coordination, travel arrangements, and expense processing.
  • Prepare and distribute communications, presentations, and meeting materials.
  • Serve as a point of contact for internal and external stakeholders.
  • Coordinate day-to-day office operations, including workspace setup, supply management, and mail distribution.
  • Oversee conference rooms, huddle spaces, and common areas to ensure functionality, cleanliness, and readiness.
  • Partner with IT and facilities to resolve equipment, technology, and workspace issues.
  • Manage visitor access and support security coordination.
  • Coordinate food, events, and team activities as needed.
  • Communicate office updates, events, and key announcements to team members.
