About The Position

The Administrative Assistant provides essential administrative support for both the Care Management and Home Care departments. This role involves a variety of tasks aimed at ensuring smooth operations, effective communication, and accurate record-keeping within these departments. The position requires a high degree of organization, attention to detail, and strong interpersonal skills to interact effectively with residents, staff, healthcare providers, and other stakeholders.

Requirements

  • Minimum high school diploma or equivalent, with specialized training.
  • Minimum three years of administrative employment experience.
  • Strong organization and planning skills.
  • Detail-oriented with the ability to perform duties with great accuracy on a daily basis.
  • Excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style that inspires respect and promotes trust.
  • Good communication skills (speaking, writing, and listening).
  • Fluent in English.
  • Excellent computer skills.
  • Proficient with Microsoft Office programs (Excel, Outlook, PowerPoint, Publisher, and Word).
  • Ability to learn and use proprietary software as required.
  • Ability to get along with others and work as a team player.
  • Ability to maintain confidentiality in all matters.
  • Ability to use good judgment and make independent decisions when circumstances warrant.
  • Ability to work harmoniously with all persons residing in, employed by, or associated with the organization.
  • Ability to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people.
  • Wear Plymouth Harbor team member i.d. badge at all times when on duty.
  • Abide by the dress and grooming guidelines established for the department.
  • Possess good personal hygiene habits.

Responsibilities

  • Greet and assist residents and/or guests.
  • Answer phones, take messages, and provide basic information about Care Management.
  • Keep Care Managers' assignments updated.
  • Update and post Admission/Discharge list daily.
  • Update Client/Resident face sheets and pertinent information as needed.
  • Assist with organizing educational programs and marketing.
  • Distribute and track staff mail and communications.
  • Assist with projects as requested by the Director of Care Management.
  • Pick up and deliver residents' mail as requested.
  • Assist with Fire Drills.
  • Provide appropriate departments with updated information (e.g., MD visit outcomes, transportation requests).
  • Conduct oneself with the highest degree of honesty and integrity.
  • Demonstrate a passion for caring in interactions with co-workers, residents, families, and visitors.
  • Demonstrate respect and compassion in every interaction.
  • Assist with scheduling and coordinating appointments/transportation.
  • Order office supplies.
  • Assist with processing LTC insurance claims as assigned.
  • Communicate with healthcare providers and patients.
  • Drop off/pick up mail from the Front Desk for Home Care.
  • Answer the Homecare phone.
  • Update changes in the phone directory, face sheets, closing of files, initiate files for new residents, and changes to resident files.
  • Order office supplies and med boxes for Home Care as needed.
  • Update the staff list based on information from Human Resources and send it to the Administrator of Strategic Health Initiatives.
  • Handle billing for all LTC policies and the facility.
  • Perform all other duties as assigned by the Director of Care Management or Director of Home Based Services.
