About The Position

Martin Sprocket & Gear is seeking a skilled Administrative Assistant to provide support for team projects and departmental goals. This role involves managing orders and quotes with precision, maintaining organized files, preparing Pro Forma grids, verifying shipments and invoices, processing credit and debit transactions, and performing general office duties to support the sales team's daily operations. The ideal candidate will have proven administrative experience, strong communication and organizational skills, technical proficiency in Outlook, Word, and Excel, and the ability to handle sensitive information with discretion.

Requirements

  • Proven background in administrative roles, with relevant experience preferred.
  • Strong interpersonal and verbal/written communication skills to interact effectively with team members and clients.
  • Skilled in using Outlook, Word, and Excel; familiarity with Microsoft Dynamics AX is a plus.
  • Comfortable working in a fast-paced environment, with the ability to adjust priorities as needed.
  • Demonstrated ability to handle sensitive information with discretion related to Human Resources.
  • Highly organized and detail-oriented, with a commitment to accuracy and task completion.
  • Dependable and consistent, ensuring accuracy and timeliness in supporting the sales team.

Nice To Haves

  • Familiarity with Microsoft Dynamics AX is a plus.

Responsibilities

  • Provide administrative assistance for team projects and departmental goals, handling assigned tasks with accuracy and efficiency.
  • Enter orders and quotes with precision, ensuring timely and accurate processing.
  • Maintain organized files of orders, quotes, and internal communications across branches for easy access and reference.
  • Prepare and process Pro Forma grids for the designated region, following established procedures.
  • Review daily shipments and invoices, confirming accuracy and addressing any discrepancies.
  • Process regional credit and debit transactions accurately and in a timely manner.
  • Perform various office duties and administrative tasks as needed to support the sales team’s daily operations.
