About The Position

Swan Electric, Plumbing, Heating & Air is seeking a highly organized and proactive Administrative Assistant to support our growing Fort Worth location. As the primary administrative support person in the office, this role serves as the go-to resource for employees, applicants, customers, and visitors while providing day-to-day support to the General Manager. This position is ideal for someone who enjoys variety, problem-solving, and helping others. The Administrative Assistant will play a key role in onboarding new employees, supporting recruiting efforts, maintaining office operations, assisting with employee systems, and ensuring the Fort Worth office runs smoothly and professionally.

Responsibilities

  • Serve as the first point of contact for walk-in applicants and employment inquiries.
  • Assist candidates with completing applications and navigating the hiring process.
  • Facilitate new hire onboarding and orientation activities.
  • Assist employees with setting up and accessing company systems, including Paycom, ServiceTitan, email, and other company platforms.
  • Ensure personnel files and onboarding records are maintained accurately.
  • Provide administrative support to the General Manager and Fort Worth team.
  • Answer and direct incoming phone calls professionally.
  • Greet customers, vendors, applicants, and visitors.
  • Maintain office supplies and coordinate office-related purchases.
  • Assist with scheduling meetings, training sessions, and office events.
  • Prepare reports, spreadsheets, forms, and other administrative documents as needed.
  • Manage incoming and outgoing mail and deliveries.
  • Maintain organized office records and filing systems.
  • Serve as a local resource for employees needing assistance with basic administrative questions.
  • Help employees navigate company systems and complete required forms.
  • Assist with distributing company communications and announcements.
  • Coordinate employee recognition, office celebrations, and morale-building activities as directed.
  • Assist with data entry and recordkeeping across various company systems.
  • Support departmental projects and initiatives as assigned.
  • Coordinate with Human Resources, Payroll, Recruiting, and Operations teams to ensure smooth communication and processes.
  • Identify opportunities to improve office efficiency and administrative workflows.
  • Perform other administrative duties as assigned.
