About The Position

With over 200 employees globally and a subsidiary in Atlanta, INTRAVIS is a growing company seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations. The ideal candidate will handle a wide range of administrative and clerical tasks, ensuring the smooth and efficient functioning of the office. This role requires strong communication skills, the ability to multitask, and a proactive approach to problem-solving.

Requirements

  • Successfully completed administrative education or 3-5 years of corporate experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team

Nice To Haves

  • Good knowledge of Spanish, Portuguese or German
  • Experience with office management tools and ERP/CRM systems
  • Basic bookkeeping or accounting knowledge
  • Multitasking in a fast-paced environment

Responsibilities

  • Provide general administrative support to management and staff
  • Manage calendars, schedule meetings, and coordinate appointments
  • Handle incoming calls, emails, and correspondence in a professional manner
  • Prepare reports, presentations, and documents as needed
  • Maintain filing systems (electronic and paper) and ensure accurate record-keeping
  • Order office supplies and manage inventory
  • Assist with travel arrangements and expense reporting
  • Prepares specific quotes and orders according to demands for service visits and spare parts
  • Writes invoices for spare parts or service visit orders
  • Perform data entry and maintain databases
  • Greet and assist visitors, ensuring a welcoming office environment
