About The Position

This Administrative Assistant role involves managing office operations, including receiving and directing phone calls, welcoming and hosting guests, clients, and vendors, and ensuring a clean, secure, and presentable workplace. The position also entails assisting with administrative supplies and equipment management, coordinating company activities like team-building events, and providing support for property maintenance to ensure a safe and pleasant environment. Furthermore, the role requires coordination with the safety committee and assistance with onboarding processes for temporary and new employees. The ideal candidate should be proficient in office software, possess strong communication and organizational skills, and be adaptable, with a preference for bilingual English and Chinese speakers.

Requirements

  • High school diploma or equivalent
  • Proficient in office software, including Google Drive and standard word processing, spreadsheet, and presentation tools.
  • Strong communication skills (verbal and written) with a professional and friendly attitude; ability to work with individuals from diverse language backgrounds.
  • Strong organizational and multitasking skills, with attention to detail.
  • Ability to work both independently and collaboratively in a team environment.
  • Adheres to policies and procedures; adaptable to change.

Nice To Haves

  • additional qualifications in office administration or related fields are a plus.
  • Proven experience in administrative or similar roles preferred.
  • English and Chinese preferred.

Responsibilities

  • Receive incoming phone calls and direct them to the appropriate personnel.
  • Welcome and host guests, clients, and vendors with a friendly and professional demeanor, while ensuring a clean, secure, and presentable workplace.
  • Assist in managing administrative supplies and equipment, including purchasing, restocking, maintenance, and storage.
  • Coordinate company activities such as team-building events and social gatherings.
  • Provide support for property maintenance tasks to ensure a safe and pleasant workplace, and communicate effectively with internal and external parties regarding maintenance work.
  • Coordinate with the safety committee to maintain a safe and secure environment for all employees and visitors.
  • Assist with onboarding processes for temporary staff and new employees.
