About The Position

The Administrative Assistant will provide daily support to the Chief Executive Officer, VP of Development/Fund Raising, and VP of Education. This role involves significant interaction with employees, residents, and the general public via telephone, email, and in person. The position requires maintaining a professional attitude, especially during conflicts, and the ability to analyze and resolve routine and complex problems. Key responsibilities include managing company databases, writing and editing content for blogs and social media, assisting with financial reconciliations and audits, coordinating mailings and events, editing video content, and supporting special projects. Confidentiality of all sensitive information is paramount.

Requirements

  • Associates Degree required.
  • At least two years of administrative support staff experience.
  • Experience with donation tracking software, such as Blackbaud, Neon One, Bloomerang or other database.
  • Must be able to pass pre-employment criminal background check.
  • Must be able to pass drug screen.
  • Must be able to lift 50 pounds.
  • Ability to speak knowledgeably about Alzheimer’s disease and the West Center services.
  • Strong public relations skills.
  • Must present a professional image to management, staff, residents, Board of Directors, physicians and the general public.
  • Must perform duties with frequent interruptions and unexpected deadlines.
  • Must have a good working knowledge of Microsoft Office Programs.
  • Must have a good working knowledge of standard office equipment (Computer, printer, copier, etc.).
  • Must be able to read, write, speak and understand the English language.
  • Must possess the ability to deal tactfully with personnel, residents, visitors, and the general public.
  • Must be able to work harmoniously with other personnel.

Nice To Haves

  • Bachelor's Degree preferred.
  • Video content editing using Descript software.

Responsibilities

  • Provide daily contact with Chief Executive Officer, VP of Development/Fund Raising, and VP of Education, as well as employees, residents, and the general public.
  • Develop and maintain effective working relationships with administrative/management staff and contract staff.
  • Maintain a professional attitude during conflicts.
  • Respond to routine and complex problems from management and staff, as well as residents’ families, physicians, and the general public.
  • Analyze and make decisions for appropriate handling of issues, referring complex questions to the appropriate resource.
  • Work with and maintain company databases, including the donor database.
  • Write and edit blogs or social media posts to highlight organization programs, educational initiatives, and community stories.
  • Complete monthly reconciliation and assist with audit recons to ensure accurate reporting of contributions.
  • Coordinate mailings and events for Development and Education.
  • Edit video content using Descript software.
  • Assist with special projects.
  • Maintain confidentiality of all resident, family, employee, and business information.
