About The Position

Our Victory Learning Center Program is expanding, and new classrooms will be opening in 2026! Be a part of our growth—join our team and help us make a difference! We are seeking an Administrative Assistant to perform a wide range of administrative and office support activities for the department. Our Victory Learning Center Programs offers specialized educational services for students who are diagnosed with Autism or a Cognitive Disability paired with a mental health diagnosis. There are two separate sites conveniently located in Lackawanna, NY, with a third site opening in September 2026! Our schools service students ages 5-21, who are residentially placed or are referred through their local school district's Committee on Special Education.

Requirements

  • Strong Computer skills
  • Ability to multi-task
  • Excellent Customer Service Skills
  • Excellent organizational skills
  • Knowledge of NYSED data bases, Data Warehouse/e-school, IEP Direct/Cleartrack
  • Knowledge of CSE process
  • Strong oral and written communication
  • Excellent attention to detail and thoroughness in completing tasks is a must
  • Job requires being reliable, responsible, and dependable, and fulfilling obligations
  • Openness to both positive or negative change and variety in the workplace required.
  • Ability to work well and personally connect with others in the workplace.
  • Minimum 3 or more years of experience
  • High School Diploma

Nice To Haves

  • Associate's Degree preferred

Responsibilities

  • Answer telephones in a professional manner, providing information to callers, taking messages or transferring calls to the appropriate individuals, set up appointments and greet students staff and visitors in a welcoming manner.
  • Distribute mail.
  • Enter data, manage paper or electronic filing systems, recording information, updating paperwork and maintaining systems.
  • Maintain electronic calendar and school email.
  • Make copies when needed.
  • Prepare and mails letters as directed.
  • Support Program, Director and Principal by ordering and dispensing office and program supplies, expense reimbursements and other duties that maybe assigned by supervisor.
  • Obtains medical documentation, school records; transcripts, IEPs, behavior records, disciplines, etc. for all clients.
  • Mail and file all CSE evaluation paperwork and annual review information for students as needed.
  • Attend trainings when necessary to maintain and enhance skills.
