About The Position

RYC Foods is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support daily business operations. The ideal candidate will have 3 to 5 years of experience in administrative support, accounts payable and accounts receivable management, customer service, order processing, and general office administration. This position requires excellent organizational skills, strong attention to detail, the ability to manage multiple priorities, and a commitment to providing outstanding service to both internal and external customers.

Requirements

  • Bilingual English/Spanish
  • Excellent written and verbal communication skills in English/Spanish
  • Strong computer skills, including Microsoft Office (Excel, Word, Outlook).
  • Experience with ERP systems and accounting software. (SAP Preferred)
  • High School Diploma or equivalent.
  • 3–5 years of experience in administrative support, accounts payable, accounts receivable, customer service, and order management.
  • Strong organizational and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Associate's Degree, Technical Degree, or Bachelor's Degree in Business Administration, Accounting, Finance, or a related field.
  • Experience working in food distribution, manufacturing, logistics, or a fast-paced business environment.

Responsibilities

  • Provide day-to-day administrative support to management and various departments.
  • Answer and direct incoming phone calls professionally and efficiently.
  • Manage company correspondence, emails, and filing systems.
  • Maintain accurate records, reports, and documentation.
  • Schedule meetings and assist with calendar coordination when needed.
  • Support office organization and administrative processes.
  • Process vendor invoices and ensure timely payments.
  • Monitor customer accounts and follow up on outstanding receivables.
  • Reconcile account discrepancies and maintain accurate financial records.
  • Coordinate with customers and vendors regarding billing inquiries.
  • Assist with month-end reporting and documentation.
  • Process customer orders accurately and efficiently.
  • Coordinate order entry, tracking, and fulfillment activities.
  • Communicate with customers regarding order status, shipments, and inquiries.
  • Resolve customer issues in a professional and timely manner.
  • Maintain strong relationships with customers and internal teams.
  • Coordinate the preparation and shipment of product samples.
  • Track sample requests and ensure timely delivery to customers and prospects.
  • Prepare daily, weekly, and monthly reports as required.
  • Maintain databases, spreadsheets, and customer records.
  • Ensure accuracy and integrity of business information and reporting.
  • Assist with special projects and operational initiatives.
  • Support inventory and office supply management.
  • Help improve administrative processes and workflow efficiency.
  • Perform other duties as assigned.
