About The Position

The Administrative Assistant is responsible for supporting daily office operations with a primary focus on mail handling, document management, and administrative coordination. This role ensures timely processing, distribution, and organization of client documents to support accounting and operational teams. This is a remote role but candidates MUST be based in Little Rock, Arkansas.

Requirements

  • High school diploma or equivalent required
  • Prior administrative or office support experience preferred
  • Strong organizational and time management skills
  • Attention to detail and accuracy in document handling
  • Basic computer skills, including file management and document uploading
  • Ability to manage repetitive tasks efficiently and consistently
  • Strong communication skills and ability to follow instructions

Responsibilities

  • Retrieve and review incoming physical mail on a weekly basis
  • Sort, organize, and compile mail for distribution to assigned accountants
  • Prepare and send outgoing mail, ensuring accuracy and timeliness
  • Log and track receipt of client documents
  • Scan and upload client documents to the internal server in accordance with company procedures
  • Maintain organized digital and physical filing systems
  • Ensure confidentiality and proper handling of sensitive client information
  • Communicate with internal staff regarding document receipt and status updates
  • Perform general administrative support tasks as needed
  • Complete other duties as assigned
