About The Position

The Administrative Assistant serves as the first point of contact for visitors, students, and families, helping to create a welcoming and supportive school environment. This role is responsible for front office operations, general administrative support, and assisting staff with daily operational needs to ensure the school runs efficiently. The Connect Academy is an organization with multiple campuses. All campuses have open positions posted for the next year. Connect Academy Carol Stream is a PreK-8 building servicing students with challenging, sometimes aggressive behaviors. The High School campus is located in Addison. The Lombard location serves PreK-3 students with autism who are nonverbal/minimally verbal as a bridge to public elementary school. ReConnect serves general education students as an alternative setting, often in lieu of expulsion. All provide comprehensive therapeutic services to address social-emotional and functional needs to support access to learning in addition to standards-based academics.

  • Proficiency in data entry, filing, creating documents and reports, and managing school records.
  • Ability to coordinate appointments, meetings, IEP meetings, and events.
  • Experience working with school district partners to coordinate transportation services.
  • Ability to maintain student files meeting compliance requirements.
  • Familiarity with security systems and emergency procedures.
  • Ability to maintain a clean, organized reception area.
  • Skills in coordinating daily operations, including student transportation, ordering meals, and assisting with special events.
  • Discretion and ability to maintain confidentiality of sensitive information.

Responsibilities

  • Welcome all visitors, including students, parents, staff, and external parties, with a friendly and helpful demeanor.
  • Handle incoming calls, route them to the appropriate personnel, and provide information or assistance as needed.
  • Maintain a log of students and adults arriving and leaving the school and ensure that proper protocols are followed for student safety.
  • Assist with various administrative tasks, such as data entry, filing, creating documents and reports, and managing school records.
  • Coordinate appointments, meetings, IEP meetings, and events, ensuring that they run smoothly and on schedule.
  • Distribute important notices, newsletters, student report cards, and other relevant school information to students, families, and district partners.
  • Work closely with school district partners to coordinate transportation services for Connect Academy students.
  • Maintain student files such that all student files meet compliance requirements.
  • Monitor the school's security system and follow emergency procedures as necessary.
  • Keep the reception area clean, organized, and well-stocked with necessary materials.
  • Work closely with school staff to ensure smooth daily operations, including coordinating student transportation, ordering breakfasts and lunches, and assisting with special events.
  • Handle sensitive information with discretion and maintain the confidentiality of all school-related matters.
  • Other duties as assigned.
