About The Position

The School of Architecture & Design (SoAD) at Wentworth Institute of Technology invites applications for a full-time Administrative Assistant position beginning Fall 2026. The Administrative Assistant serves as a primary point of contact for the School, providing outstanding customer service and administrative support to students, faculty, staff, alumni, and external partners. This position plays a vital role in the daily operations of the School and contributes to a collaborative, student-centered environment. Reporting to the School Operations Manager, the Administrative Assistant works closely with the Dean's Office, Associate Dean, Program Directors, faculty, and staff to support academic programs, school operations, events, communications, and strategic initiatives.

Requirements

  • Excellent organizational, interpersonal, communication, and customer service skills.
  • Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Experience coordinating events, managing projects, and collaborating effectively with diverse teams.
  • Proficiency with Microsoft Office, Google Workspace, and other web-based communication and collaboration platforms.
  • Ability to work independently while contributing to a collaborative, service-oriented team.
  • Strong written communication skills and the ability to maintain accurate records and documentation.
  • Bachelor's degree
  • One to three years of experience in a customer service, administrative, higher education, or comparable professional environment.

  • Demonstrated interest in design or other creative disciplines.
  • Experience with website content management systems and social media platforms.
  • Demonstrated graphic design skills (Adobe Creative Suite, Canva, or similar software).
  • Familiarity with generative AI tools and their application to communications, administrative workflows, and content creation.
  • Experience supporting events, exhibitions, or public programs.

Responsibilities

  • Serve as the first point of contact for students, faculty, staff, and visitors, responding to inquiries and directing requests appropriately.
  • Provide administrative support to the Dean, Associate Dean, Program Directors, faculty, and graduate students.
  • Assist with graduate program administration, communications, and events
  • Support the management of studio, classroom, and office spaces, including scheduling and coordination.
  • Coordinate School events, including final reviews, exhibitions, lectures, town halls, commencement-related activities, and other community gatherings.
  • Coordinate the collection, cataloging, archiving, and documentation of student work and maintain records of School events and activities for future planning and historical archives.
  • Manage and update content for the School's website, digital communications, and social media platforms.
  • Assist with the logistics of undergraduate semester study-abroad programs, M.Arch Global Research Studios, faculty-led travel, and other domestic and international student travel experiences.
  • Support admissions and recruitment initiatives, including Open Houses, Welcome Days, Pre-College programs, SummerFAB, and K–12 outreach activities.
  • Provide administrative support for School publications and externally facing communications, including Making Masters, the M.Arch thesis collection, and the Wentworth Design Review.
  • Assist faculty with community engagement initiatives, industry partnerships, and special projects.
  • Support data collection, reporting, and accreditation-related activities as needed.
  • Perform other duties and special projects as assigned to support the mission and strategic priorities of the School.
