About The Position

Responsible for performing administrative support duties within the assigned area. Major responsibilities include performing basic administrative duties following well-defined standard procedures, preparing documents, reports, and spreadsheets as needed to support the business unit, and maintaining files and calendars. Utilize Microsoft Outlook, Excel, Word, and PowerPoint, as well as other department software/systems as needed. Requires strong communication and interpersonal skills, the ability to listen and understand written and verbal instructions, and communicate effectively with co-workers, employees, and customers. Must work effectively and productively with others, actively helping others with assignments as necessary to maintain department productivity. Possess a customer focus, answering customer questions, referring questions to others as needed, and actively learning the function of the department to assist customers more effectively. Exhibits concern and sensitivity to others. Demonstrates problem-solving skills and initiative, applying basic education and training in job responsibilities and assignments, asking questions when unsure of how to handle an assignment, and demonstrating the ability and initiative to handle assignments beyond the routine. The environment is fast-paced and often changes priorities with little forewarning. Attention to detail is an absolute necessity. Assist in a team work environment with tasks such as exchanging documents with various courts and administrative agencies and opposing parties, serving parties with materials via hand-delivery, courier service, USPS mail, overnight courier, and email. Maintain file system of materials and mail to large numbers of parties in a single event (1000 recipients or more).

Requirements

  • High school diploma or GED.
  • One year of administrative work experience.
  • Demonstrated computer proficiency including the use of Microsoft Office Products.
  • Ability to organize data and processes.
  • Communicate effectively both orally and in writing.
  • Good analytical and problem-solving skills.
  • Ability to handle assignments beyond the routine.
  • Experience with MS Word and MS Excel.
  • 60 wpm minimum typing speed.
  • Attention to detail is an absolute necessity.

Nice To Haves

  • Familiarity with Adobe Acrobat for document labeling and editing.
  • Familiarity with mail merges using MS Excel letters and mailing/shipping.
  • Familiarity with mail merges for mailing/shipping using Stamps.com, Fed-Ex, and other similar applications.
