About The Position

The Administrative Assistant will be the first point of contact for clients, responsible for coordinating onboarding, and setting the tone for client interactions. This role is crucial for making the team's lives easier so they can focus on serving clients better. The position involves handling details, solving problems, and ensuring smooth operations. Experience in financial services with a focus on client-facing aspects is a plus.

Responsibilities

  • Manage day-to-day operations to maintain strong client relationships.
  • Answer phones and emails.
  • Coordinate client appointments and meetings.
  • Handle paperwork for onboarding new clients with the advisory team.
  • Compile client files.
  • Process account paperwork.
  • Prepare mailings.
  • Maintain accurate and organized data.
  • Address client questions and concerns.
  • Follow up on client requests and promises.
  • Ensure client needs are met and nothing is overlooked.
  • Keep systems running smoothly.
  • Coordinate workflows across the team.
  • Stay informed about services offered to discuss them intelligently with clients.
