Position Overview We are seeking a highly organized, proactive, and dependable Administrative Assistant / Office Manager to support daily office operations and help create an exceptional employee and client experience. This person will wear multiple hats and play a key role in keeping the office organized, supporting leadership and staff, coordinating vendors and events, and ensuring day-to-day operations run efficiently. The ideal candidate is detail-oriented, resourceful, polished, and enjoys being the go-to person others can rely on.

Requirements

  • 2+ years of administrative, office management, executive assistant, or similar experience preferred
  • Strong organizational and multitasking skills
  • Professional communication skills both written and verbal
  • Positive attitude with a willingness to jump in wherever needed
  • High attention to detail and ability to problem solve independently
  • Proficient in Microsoft Office Suite, Outlook, Teams, and general office technology
  • Ability to thrive in a fast-paced, collaborative environment

Nice To Haves

  • Experience in insurance, professional services, or corporate environments is a plus

Responsibilities

  • Manage day-to-day office operations and overall office organization
  • Serve as the first point of contact for guests, vendors, and office visitors
  • Coordinate office supplies, equipment, snacks, and vendor relationships
  • Assist leadership team with administrative support and special projects
  • Help coordinate company events, meetings, lunches, and team activities
  • Support onboarding logistics for new hires including workspace setup and office coordination
  • Manage calendars, scheduling, conference rooms, and travel arrangements as needed
  • Handle incoming mail, packages, and general office communications
  • Maintain office appearance and ensure a professional, welcoming environment
  • Assist with expense tracking, invoices, and general operational tasks
  • Support recruiting and HR team with occasional administrative needs
