About The Position

Managed Mobile, Inc. is an industry-leading provider of mobile fleet maintenance and fleet management services in California. We are growing our corporate team and are in need of an experienced Administrative Assistant. The core role concentration(s) include, but are not limited to: Answering incoming calls and directing to proper department - multiple lines, scanning/filing and organizing incoming paperwork, billing to customers, mailing out invoices to customers daily – through regular mail and email, opening and distributing incoming mail daily, assisting in Accounts Payable and Accounts Receivable departments, and helping with other clerical projects when needed. The role also involves processing, reviewing, and auditing AR invoices and supporting correspondence to ensure accuracy for mailing and emailing clients, scanning, renaming, and filing AR and AP invoices and supporting correspondence. The ideal candidate will ensure tasks and assignments are executed and meet all company requirements while ensuring client-defined service levels are maintained and regularly exceeded. They will also assist and support with miscellaneous ad-hoc projects/requests and must be aligned with company Core Values: Be Professional, Do The Right Thing, Be Driven, and Compete to win Together.

Requirements

  • Familiarity within the transportation, Logistics and/or maintenance fields
  • Ability to articulate and manage multiple assignments
  • Able to prioritize quickly changing requirements regularly
  • Ability to work a variety of tasks simultaneously to ensure all requirements are completed in a timely manner
  • Ability to present to large groups in a confident manner
  • Advanced skills with computer applications (Microsoft Word, Outlook, Excel, etc.)
  • Must be able to multi-task while ensuring follow up and execution of required tasks
  • High degree of organization and ability to work effectively in a fast-paced environment
  • Must be a high energy individual with a strong work ethic and desire to succeed
  • Ability to pass a pre-employment drug screen, physical exam, and background check
